Membership Services and Meetings Coordinator

The Membership Services and Meetings Coordinator provides day‑to‑day coordination of membership services and supports the Association’s governance and meetings activities, including conferences and special programs. Primary Responsibilities Coordinate membership services, including member on‑boarding and off‑boarding, record maintenance, dues‑related support, and serving as a key point of contact to ensure a positive and responsive member experience. Coordinate the annual House of Delegates, providing administrative and logistical support, managing timelines and materials, and assisting with communications to ensure effective planning and execution. Manage the annual volunteer committee appointment process, including tracking nominations, preparing appointment materials, coordinating timelines, and supporting leadership and staff throughout the process. Provide support for conference set‑up and planning, including registration coordination, materials preparation, onsite assistance, and collaboration with internal teams and vendors. Provide timely customer service, communications, and member support, responding to member inquiries, coordinating follow‑up, and ensuring accurate and professional information is delivered across multiple channels. Qualifications Demonstrated administrative experience with the ability to coordinate and manage processes from start to finish. Strong customer service skills with the ability to handle inquiries professionally and efficiently. Demonstrated ability to learn and effectively use internal database platforms. Ability to research and resolve membership issues and accounts receivable discrepancies. Excellent written, verbal, and interpersonal communication skills. Demonstrates initiative to organise, coordinate and improve day‑to‑day activities. Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and virtual meeting platforms. Ability to work collaboratively with internal teams, members, and external partners. This role requires attention to detail and the ability to manage competing priorities during peak seasons.
