Position Overview: Schwabe, Williamson & Wyatt is seeking a full time Records Clerk in our Portland, Oregon office. This position will work in the office 5 days a week. The Records Clerk, under the supervision of the Director of Intake & Records, provides administrative and operational support to the Records Department through the maintenance, organization, retention, and management of client and firm records. The ideal candidate is highly organized, detail-oriented, able to manage multiple priorities in a fast-paced environment, and committed to providing excellent internal customer service to attorneys, staff, and clients. Key Responsibilities: Works on client files in the Records Department by creating and distributing new files at request of attorneys or secretaries. Closes files according to the firm’s retention policies and procedures. Performs data entry work. Processes automated and manual records forms. Performs other duties as required including, but not limited to: maintenance of will safes, organization of file banks, maintenance of statistics and logs, assisting attorneys and secretaries by responding to telephone and e‑mail inquiries. Requirements: Previous clerical, administrative, customer service, or office experience preferred, but not required. Basic computer proficiency, including experience with Microsoft Office applications and data entry systems is a plus. Demonstrated ability to maintain confidentiality and handle sensitive information with discretion. Strong organizational skills, attention to detail, and ability to manage multiple tasks in a fast-paced environment. Ability to communicate professionally and effectively with attorneys, staff, clients, and vendors. Demonstrated ability to work collaboratively in a team-oriented environment while also managing individual responsibilities effectively.
