Chery Finn CPAs PLLC is seeking a Client Service and Firm Operations Coordinator to help manage client communication, document collection, scheduling, workflow follow-up, onboarding, and administrative operations for a growing CPA firm. This role is built for someone who is organized, responsive, detail-oriented, and comfortable keeping many open loops moving at the same time. The coordinator will work closely with the CPA team to keep client work moving, ensure deadlines are tracked, and help maintain a professional client experience. Responsibilities Manage client follow-ups and document requests. Track open client items and internal deadlines. Coordinate scheduling and meeting logistics. Support client onboarding and engagement workflows. Maintain organized client files and administrative records. Route information between clients and the accounting/tax team. Monitor shared inboxes or assigned communication channels. Help maintain task lists, workflow trackers, and follow-up systems. Support proposal, engagement, billing, or administrative workflows as assigned. Document recurring processes and help improve internal checklists. Protect client confidentiality and handle sensitive information professionally. Required Qualifications Excellent written communication. Strong organization and follow-through. High attention to detail. Professional client-service judgment. Comfort working with email, cloud documents, spreadsheets, and client portals. Ability to prioritize competing deadlines. Ability to work independently after clear direction is provided. Willingness to follow, document, and improve processes. Preferred Qualifications Experience in a CPA firm, bookkeeping firm, law firm, financial services firm, or other deadline-driven professional office. Tax season or accounting firm experience. QuickBooks Online familiarity. Google Workspace experience. Experience with client portals, workflow tools, CRM systems, or document management systems. Experience supporting client onboarding, document collection, scheduling, billing, or administrative operations. Helpful experience may include: Google Workspace Client portals Workflow or CRM tools Proposal or engagement platforms Cloud document management systems Work Environment This is a professional services role supporting a CPA firm. The work requires responsiveness, discretion, accuracy, and the ability to manage deadlines. During tax season or other peak periods, the pace may be faster and the volume of client follow-up may increase. Success in the First 30 Days Learning the firm's main communication and workflow systems. Taking ownership of assigned client follow-ups and document requests. Maintaining accurate open-item tracking. Supporting scheduling and client coordination. Following existing SOPs and asking clarifying questions where needed. Helping identify gaps in documentation or workflow handoffs. Success in the First 90 Days Managing recurring administrative workflows with limited oversight. Keeping client follow-ups organized and timely. Helping prevent deadlines or open items from falling through the cracks. Improving process documentation as work is performed.
