Our company is locally owned, community-focused, and committed to professionalism, reliability, and exceeding client expectations.Position Overview: We are seeking a Customer Service Associate to join our Caldwell office team. In this role, you will be the first point of contact for our clients, managing incoming calls, emails, and messages, scheduling jobs, dispatching technicians, and supporting our operations team with billing and administrative tasks. This is a fast-paced position that requires strong communication skills, attention to detail, and the ability to multitask effectively.Fluent Spanish-speaking candidates are highly preferred and will be eligible for increased pay.Responsibilities:Client CommunicationRespond promptly to client calls, emails, and voicemailsAddress pricing, service, and scheduling questionsSend confirmations, reminders, and follow-up messagesProvide updates on job status and communicate changesScheduling & Dispatch (Housecall Pro)Schedule jobs in Housecall Pro (HCP)Manage technician calendars and dispatch jobsHandle last-minute schedule changes or call-outsCommunicate special job instructions (alarms, access codes, etc.)Sales & EstimatesSchedule estimate appointments and follow up on pending quotesConvert approved estimates into active jobsEnsure documentation standards in HCP are metAccounts & BillingCreate and send invoices through HCPProcess payments and resolve billing issuesFollow payment collection proceduresSystems & Administrative SupportMaintain accurate client records in HCPMerge duplicate profiles and onboard new clientsSupport technicians via phone or Microsoft TeamsUse SOPs, scripts, and reference sheets for consistencyQualifications:Minimum 2 years customer service experience (dispatch, call center, or scheduling preferred)Strong written and verbal communication skillsSpanish-speaking preferred (eligible for increased pay)Experience with booking, scheduling, or dispatching strongly preferredProficiency in Microsoft Teams, Outlook, and Office SuiteExperience with Housecall Pro (HCP) or similar software a plusDependable transportation and a smartphone capable of running required appsWork Environment & Physical Demands:Office-based role with frequent phone and computer useOccasional lifting of office supplies (up to 50 lbs)Must maintain professional appearance (business casual attire)Compensation & Benefits:Starting Pay: $18–$22/hour DOE (higher for fluent Spanish-speaking candidates)Health Insurance: Medical, dental, vision, accident, and short-term disabilityRetirement: 401(k) with company matchPaid Time Off: Generous PTO policy + paid holidaysBonuses: Performance-based incentivesProfessional Growth: Ongoing learning and advancement opportunities Howard Building Maintenance
