Operations Specialist II

Summary In this role, the Operations Specialist II provides a high level of customer service to internal and external customers by demonstrating prompt and thorough attention to issues, requests, and handling complaints. The OS II processes, routes, and schedules orders within required timeframes and coordinates with operational staff. The OS II works within the existing warehouse management systems to track and account for each customer order and communicate between customer and operational staff. Essential Functions Support operations, including processing client orders/receipts, order confirmations, carrier communications, and handling general account records. Communicate professionally, effectively and promptly with customers by telephone or written to provide information and support regarding the day-to-day business or inquiries. Actively maintain data integrity of account information stored in the company internal systems. Provide departmental support functions on client as assigned. Utilize the facility information systems to perform tasks related to client account, such as order entry, inventory inquiries, receipt processing. Utilize and accurately complete daily reports and worksheets as required by both client and management. Ensure accurate order entry and release of the same information to staff as needed; answer customer billing questions. Keep records of customer interactions/transactions, recording details of inquiries, complaints, or comments, as well as actions taken. Contact customers to respond to inquiries or to notify them of their order status or any adjustments. Assist in accurately tracking client activities and complete daily spreadsheets. Confer with customers by telephone, email or in person to provide information about products and services, shipping and receiving, to take orders or to obtain details. Monthly billing responsibilities including closing and entering charge codes for orders, receivers/work orders. Prepare documents such as work orders, bills of lading, shipping orders, commercial invoices, master BOLs, packing lists and barcode labels to route materials. Communicate effectively with other associates, supervisors, managers and senior management. Other duties as assigned. Experience in a distribution/fulfillment environment is preferred. Knowledge of Microsoft Office/Outlook/Warehouse Management System (WMS). Excellent oral and written communication skills. Ability to cross-train others. Excellent data entry skills; attention to detail for typing, filing, sorting and proofing. Professional at all times; flexible with changing situations.
