Administrative Support Coordinator

Position Summary

AVT US is looking for a highly organized and detail-oriented Administrative Support Coordinator to join our team. In this role, you will play a key part in supporting our Service, Sales, and Operations departments, ensuring smooth daily operations and excellent customer service.

This position is ideal for someone who thrives in a fast-paced environment, enjoys coordinating multiple priorities, and takes pride in accuracy, communication, and follow-through.

Key Responsibilities

  • Professionally handle and route incoming calls in a timely manner.
  • Create, update, and maintain service requests in internal systems.
  • Schedule and coordinate Preventive Maintenance (PM) visits for customers.
  • Assist with dispatching Field Service Engineers and tracking service activity.
  • Maintain accurate service records, documentation, and customer information.
  • Communicate with customers regarding service schedules, updates, and changes.
  • Support Sales and Service teams with administrative tasks and reporting.
  • Monitor open service requests and ensure timely resolution and follow-up.
  • Perform data entry, filing, and document management as needed.
  • Contribute to internal projects and operational improvements.
  • Collaborate with cross-functional teams to support efficient workflows.

Qualifications

  • 2+ years of experience in administration, customer service, scheduling, or coordination roles.
  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Outlook, Excel, Word, Teams).
  • Ability to work independently in a fast-paced environment.
  • Strong attention to detail and accountability.
  • Experience supporting service, operations, or technical teams is an advantage.

Requirements

  • On-site availability required.
  • Reliable transportation.
  • Ability to handle confidential information with professionalism and discretion.
  • Positive, customer-focused attitude and strong team collaboration skills.

Compensation & Benefits

  • Salary range: $45,000–$50,000 annually, based on experience and qualifications.
  • Eligible for participation in the Company's Incentive Compensation Plan (ICP) with a target bonus of 5% of annual base salary.
