Senior Patient Services Coordinator

Full-time , Mon–Fri, KCLA is a family-owned outpatient mental health practice that has been pioneering innovative psychiatry since 2014: ketamine therapy, TMS, Spravato, medication management, and integrative care. Our admin team fields roughly 1,000 inbound calls a month on top of messages, scheduling, paperwork, refills, and treatment logistics. We need someone who takes ownership of a patient's need and closes the loop. What you'll do Handle calls, messages, and work queues with warmth, accuracy, and appropriate urgency Schedule across psychiatry, ketamine therapy, TMS, and Spravato Check patients in and out, collect balances, track intake forms, consents, and insurance Route refill requests and clinical questions; elevate what's urgent Keep the EHR and CRM accurate, and hand off cleanly what you can't finish What we're looking for 3+ years in patient services, medical reception, patient access, or care coordination High call and message volume without losing accuracy or follow-through Steady with patients who are distressed, and clear judgment about when to escal Fluent in EHRs, scheduling platforms, and shared work queues Able to work fully onsite in Los Angeles A plus: behavioral health, infusion, ketamine, TMS, or Spravato experience; insurance verification, prior auths, or billing support; enterprise CRM.
