Position Summary Under general direction of the Director and AVP, the Administrative Support Coordinator provides comprehensive administrative, operational, and program support to advance the APIDA Center, APPEX, and CSU Asian American Grant (CSU ASAP) initiatives). The position also provides high-level administrative, operational, and clerical support, acting as a key liaison between the AVP, staff, and external stakeholders. The incumbent is responsible for maintaining, tracking and reconciling program fiscal records; supporting program operations implementation and evaluation; and coordinating projects, convenings, meetings, and events with campus and community partners. This role also includes guiding new and continuing students through university processes and providing program‑related support to students and staff. This position requires independent judgment to gather, analyze, and interpret information, apply university and program policies, and resolve issues. The incumbent utilizes a full range of office technologies and systems, including word processing, spreadsheets, data management platforms, and communication tools, to support daily operations and strategic initiatives. FLSA : Non-Exempt (eligible for overtime compensation) Anticipated Hiring Range : $4,367 per month (Step 1) CSU Classification Salary Range : $4,367 per month (Step 1) -$6,362 per month (Step 20) Salary step placement will be determined based on relevant qualifications and professional experience. Recruitment Type : Regular ( Probationary) Time Base : Full-Time Work Hours : Monday to Friday, 8:00 am to 5:00 pm. Summer Hours (May - August) will be 7:30am - 4:00pm with a 30 minute lunch. APPEX (Asian Pacific Promoting Educational Excellence) is a mental health and wellness cohort program open to all incoming students. It integrates student support services, interdisciplinary curriculum, and co‑curricular programming, centering on nutrition, mental health, and psychosocial development within the sociocultural and lived experiences of Asian American, Native Hawaiian, and Pacific Islander (AANHPI) communities. APPEX broadens access to academic support, career exploration, and wellness resources, fostering both personal growth and professional readiness. For more information, visit Minimum Qualifications Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience. Required Qualifications Experience coordinating and/or performing administrative support functions in a complex administrative environment Experience setting priorities, meeting deadlines, evaluating and making recommendations pertaining to operational and procedural matters Expertise with office software packages (e.g., Microsoft Office) and office equipment Strong organizational and multi-tasking skills and ability to initiate, coordinate, execute, and evaluate large-scale, complex projects that may involve coordination with the College and/or other programs and programs Ability to provide lead work direction, training, and guidance to student assistants or other office staff and provide input to performance evaluations, when needed. Ability to work with frequent interruptions Ability to work creatively and independently under general direction related to program goals Ability to interpret and apply policies and procedures independently and use judgment and discretion to act and make decisions and recommendations Ability to prepare correspondence and utilize spreadsheets and databases Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports) and with mastery of English grammar, punctuation, and spelling. Ability to maintain program website Ability to develop, research, analyze, evaluate, and recommend innovative solutions to a broad range of operation and procedural office and administrative problems Ability to use social media to professionally represent the workplace Skilled in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations Knowledge and understanding of protecting and securing sensitive and confidential data and other forms of information Demonstrated ability to work effectively, inclusively, and sensitively with people from diverse backgrounds Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.
