What the Job Is Like

• Pay: $21.90 - $38.96 per hour (DOE)
• Schedule: Mon-Fri, 8 am-5 pm
• Location: San Jose, CA
• Duration: 3 months (possibility for extension)
• Work Arrangement: Hybrid, with the majority of the initial assignment onsite

Education Qualifications

• High school diploma or GED equivalent.

Experience Qualifications

• Minimum 1 year of related healthcare experience required.
• Experience with patient scheduling and gathering medical records required.
• Experience with healthcare administrative tasks and patient coordination.
• Experience using electronic medical records (EMR) systems and computer-based applications.
• Experience handling patient calls, messages, and administrative communications.
• Strong customer service and patient communication skills.
• Ability to manage time effectively and handle multiple priorities.

Required Knowledge, Skills and Abilities

• Knowledge of medical terminology.
• Knowledge of computer systems and software used in functional area.
• Ability to speak and write effectively at a level appropriate for the job.

Responsibilities

Patient Interaction and Appointment Scheduling

• Patient Assistance: Greet and welcome patients, assist with check-in and check-out procedures, and respond to general inquiries regarding appointments, payments, and schedules.
• Appointment Scheduling: Schedule and reschedule patient appointments, including follow-up visits, ensuring timely coordination with providers and clinic staff.
• Patient Communication: Respond to non-clinical patient messages and inquiries, escalating concerns when appropriate.
• Patient Documentation: Ensure necessary patient information, verifications, and authorizations are completed before scheduled appointments.

Administrative Tasks and Documentation

• Medical Records Coordination: Gather, organize, and prepare medical records for upcoming patient appointments and follow-up visits.
• Telephone and Messaging: Handle incoming and outgoing calls, assist with phone queues, route messages, and manage communications through email, Microsoft Teams, and internal messaging systems.
• Documentation Management: Process incoming and outgoing faxes, manage mail, maintain filing systems, and organize clinic-specific documentation.
• Electronic Records: Upload medical CDs, maintain accurate electronic patient records, and utilize electronic medical records systems to complete administrative tasks.
• Administrative Support: Maintain databases, process internal forms, and assist with daily clinic administrative functions.

Communication and Coordination

• Provider Coordination: Communicate with physicians and clinic staff regarding scheduling preferences, patient needs, and urgent appointment requests.
• Patient Support: Assist patients with non-clinical questions and provide professional, courteous service while addressing their concerns.
• Team Collaboration: Coordinate with healthcare providers, administrative staff, and other departments to ensure efficient clinic operations.
• Service Excellence: Maintain high standards of customer service, professionalism, and accuracy while managing multiple priorities in a busy healthcare environment.
