Sr. Operations Specialist - Ambulatory Operations and Space Management

JOB RESPONSIBILITIES Direct daily space planning and utilization activities across ambulatory sites in collaboration with operational and clinical leadership, ensuring alignment with organizational priorities. Identify and implement opportunities for improving cost and quality through in-depth analysis. Develop and implement policies and procedures for improved utilization, quality and operations. Ensure operations are efficient and cost‑effective. Resolve issues concerning staffing, utilization of facilities and equipment. Develop and interpret policies and procedures for staff and ensure that all policies conform with guidelines. Collaborate with operational and clinical leaders to resolve space constraints impacting provider scheduling, staffing models, and overall clinic operations. Oversee space request, review, and prioritization processes to ensure alignment with organizational and divisional goals. Maintain accurate and up‑to‑date space inventory data, including floor plans, room attributes, and utilization metrics. Develop, implement, evaluate and manage capital budgets. Develop and manage annual operating budgets or provide direction as needed. Implement and/or maintain a process for financial controls. Analyze and monitor financial performance and report financial results to stakeholders; evaluate variances, determine underlying causes, and identify, present, and implement proposed solutions. Integrate the financial management and decision making across the department/division; establish and monitor productivity metrics. Accountable for compliance with organizational financial policies and procedures. Provide oversight in revenue cycle management, including optimizing revenue, ensuring complete and accurate billing, monitoring charge capture, creating competitive pricing, developing and expanding programs, and monthly revenue reporting. Monitor budget expenditures; identify, evaluate, research and manage variances and problems. Work with vendors regarding functionality needs, coordinate implementation of new software and upgrades with IS, update processes, and communicate changes to department and stakeholders. Analyze, test and implement existing or new vendor software solutions that fulfill business needs or improve existing processes. Identify, develop, and implement new methods, processes, and systems to improve and facilitate the team's work (Process/Quality Improvement). Improve data quality, usability, and streamline reporting processes and deliverables. Recommend procedures to enhance or maintain a high level of effectiveness in daily operations. Coordinate assigned projects, including collaborating on project plans, budgets, and resource requirements (Project Management). Track progress, prepare internal reports, and documents to support project management and reporting. Prepare and distribute project communication to internal and external clients. Identify system and technology needs and act as liaison to ensure appropriate systems and reporting are maintained in support of project requirements. Provide administrative support such as arranging meetings, developing agendas, preparing meeting materials, taking meeting minutes, and preparing progress reports. JOB QUALIFICATIONS Bachelor degree or equivalent combination of education and experience. 3+ years of work experience in a related job discipline or equivalent combination of education and experience. PREFERRED EXPERIENCE Demonstrated understanding of current ambulatory space management practices, including exam room allocation, provider scheduling templates, and clinic flow.
