Assistant Property Manager / Administrative Assistant

About the Role

 

We are seeking a reliable, organized, and personable Assistant Property Manager / Administrative Assistant to support the daily operations of our property management office in Bay Ridge. This role is ideal for someone who enjoys a mix of administrative work, tenant interaction, and hands-on property management tasks. If you’re detail-oriented, proactive, and comfortable juggling a variety of responsibilities, we’d love to hear from you!

 

Key Responsibilities

 

  • Record and track rent payments in Excel spreadsheets
  • Prepare and distribute lease renewal notices to tenants
  • Communicate with tenants regarding complaints and coordinate repairs with contractors
  • Prepare payroll and expense checks
  • Show available rental spaces to prospective tenants
  • File required documents with the city
  • Answer incoming phone calls and respond to emails promptly and professionally
  • Collect and sort daily mail
  • Assist with additional property management tasks as needed

 

Qualifications

 

  • Strong organizational and multitasking skills
  • Excellent written and verbal communication
  • Basic proficiency with Excel and general office software
  • Comfortable interacting with tenants, contractors, and city offices
  • Ability to maintain confidentiality and handle sensitive information
  • Prior property management or administrative experience is a plus, but not required
