Litigation Legal Assistant

Description Warner Norcross + Judd is seeking a Litigation Legal Assistant to join our team in Grand Rapids. The Legal Assistant role provides comprehensive support to timekeeping roles within the Firm including Partners, Associates, and Paralegals primarily in civil litigation and some family law. This role involves performing a variety and administrative and clerical tasks to ensure the efficiency of legal processes as well as provide exceptional client service. The role is full time based in our Grand Rapids, MI office. The hours are Monday through Friday 8 am - 5 pm. What You'll Do Prepare, type, and format correspondence, memos, and other legal documents, ranging from simple to highly complex, ensuring accuracy and professionalism Proofread all documents for spelling, grammar, consistency, and formatting Transcribe dictation as needed Maintain electronic client files systematically, ensuring proper filing of emails, documents, and converted hard-copy materials Open new matters and ensure accuracy of client information and compliance with firm procedures Coordinate delivery of documents and projects through courier, hand delivery, or other required services Manage telephone communications professionally, respond to client requests, and keep timekeepers informed of conversations and updates Manage attorney calendars, travel arrangements, expenses, meetings, and practice group logistics Review and edit time entries in Intapp Time to ensure accuracy before weekly and monthly deadlines Proofread and process client billing memos and coordinate special billing arrangements when needed Delegate tasks to Practice Group Support Specialists, administrative departments, and vendors to enhance workflow efficiency Provide coverage and backup support for other timekeepers when team members are absent and coordinate vacation schedules to maintain seamless support What Makes You Successful Success in this role requires exceptional organizational skills, strong attention to detail, and the ability to effectively prioritize and manage multiple tasks while maintaining a high standard of accuracy and quality. A basic understanding of legal terminology is also important to support success in this position.
