Job Summary Under the direction of the Director of Development and External Relations, provide analytical and administrative support for the Assistant Dean of Development and External Relations, act as a liaison with the Dean’s Office in coordinating development related meetings and events for the Dean and Associate Deans of the College, while providing support to the Development and External Relations team. Provide comprehensive support to the Assistant Dean of Development and External Relations, including complex calendaring, meeting preparation, report generation, proposals and special projects. Assist Directors of Development with administrative functions that support frontline fundraising activities, including donor correspondence, travel coordination, meeting logistics, preparation of briefing and stewardship materials. Prepare financial reports and process travel and expense reconciliation. Support gift processing activities, ensuring timely and accurate administration of philanthropic gifts in accordance with university policies and procedures. Serve as a resource to donor inquiries, resolve gift related issues, prepare acknowledgements and support efforts that strengthen donor engagement and satisfaction. Additionally, support departmental projects and initiatives that enhance the efficiency and effectiveness of the college’s fundraising and donor relations programs. Apply By Date August 26, 2026 at 11:59 p.m. Minimum Qualifications Bachelor’s degree, or equivalent combination of training and experience. Demonstrated experience providing high-level administrative and analytical support to executive or senior leadership, including managing complex calendars, preparing reports and correspondence, coordinating meetings and projects, exercising independent judgment, and communicating diplomatically with a broad range of internal and external stakeholders, including donors, alumni, faculty and staff. Demonstrated experience supporting donor, fundraising, advancement, alumni relations, development, or other customer relationship management functions, including maintaining confidential constituent records and coordinating donor- or client-facing activities. Demonstrated experience maintaining and ensuring the accuracy of customer, constituent, donor, or other relationship management databases and preparing reports using those systems. Organizational skills to take appropriate initiative and prioritize work under multiple competing deadlines, heavy workload and overlapping activities in a complex and demanding unit. Demonstrated organizational, analytical, and project coordination skills with the ability to manage multiple concurrent priorities, prepare executive-level correspondence and reports, and independently resolve problems in a complex administrative environment. Skills to analyze, define, and assess problems, issues, and needs; ability to plan, identify and troubleshoot unforeseen issues. Preferred Qualifications Experience supporting fundraising, donor relations, alumni relations, or advancement operations within a higher education, nonprofit, healthcare, or similarly mission-driven organization. Demonstrated experience processing financial transactions, gifts, grants, or other restricted funds while maintaining accurate records and ensuring compliance with established policies and procedures. Knowledge of University policies and procedures to interpret and apply policies and procedures for procurement, reconciliation and travel. Awareness, knowledge, and skill in applying inclusion to one’s work. Key Responsibilities 75% - Administrative and Analytic Support 25% - Gift Administration, Donor Relations and Stewardship Department Overview The College of Agricultural and Environmental Sciences Development and External Relations team provide leadership, coordination, and strategic support to advance the college's research, teaching and public service mission through philanthropic engagement and fundraising. The division includes (5) external relations professionals and (10) frontline fundraisers. The College of Agricultural and Environmental Sciences, Division of Development and External Relations, works to generate external support, particularly philanthropic support, for the strategic priorities of the college. Development functions include development, alumni engagement and events, and foundation and corporate engagement. The Senior Director of Foundation and Corporate Engagement, in conjunction with foundation and corporate partners, forges connections that will serve the interests of the college and its partners. Development & Alumni Relations (DEVAR) provides leadership in building enduring public trust, understanding, and support for UC Davis and its mission of teaching, research, and public service. DEVAR provides leadership, coordination and support services to help the university meet its mission of research, teaching and service by building philanthropic support and executing approved fundraising programs that support the university's highest priorities and initiatives.
