Position Overview:

The Project Manager will coordinate projects from initial planning through design, procurement, construction, and closeout while monitoring scope, schedule, budget, quality, and project risk. This is a full-time hybrid position requiring four days per week in the office and permitting one remote workday per week, subject to business and project needs.

This role is the primary day-to-day project contact among Boards of Directors, property management teams, residents, architects, engineers, contractors, vendors, and other consultants. Success requires consistent follow-through, accurate reporting, sound judgment, and the ability to move several active projects forward with limited supervision.

  Key Responsibilities include but are not limited to:

  Project Planning and Administration

• Manage multiple projects and establish clear scopes, priorities, responsibilities, schedules, budgets, and decision points.

• Develop and maintain project action lists, milestone schedules, budget and cash-flow tracking, meeting records, and concise status reports.

• Identify missing information, unresolved decisions, access requirements, approvals, and other dependencies that may affect progress.

• Anticipate project risks, recommend practical options, and promptly escalate issues that require leadership, Board, legal, or professional input.

Stakeholder and Resident Communication

• Lead project meetings and communicate clearly with Boards, property managers, building staff, consultants, contractors, and vendors.

• Prepare accurate Board updates, meeting minutes, executive summaries, presentations, and detailed resident communications.

• Coordinate resident access, work sequencing, temporary disruptions, and building logistics with property management and site staff.

• Maintain professional, responsive communication and document commitments, decisions, and required follow-up.

Design Procurement and Preconstruction Coordination

• Assist with consultant procurement, proposal review, interviews, recommendations, and contract coordination.

• Coordinate design development and preconstruction activities with the architect or engineer, including site information, Board input, constructability concerns, budget alignment, approvals, permits, and anticipated phasing.

• Support consultant-led contractor bidding and bid review by coordinating schedules, communications, walkthroughs, clarifications, and Board decision-making.

• Assist the building attorney and project team with access agreements and other prerequisites that must be resolved before construction begins.

Construction Phase Oversight

• Monitor construction progress through regular site visits, meetings, schedule reviews, and coordination with the design professional and contractor.

• Observe and report site conditions, safety or access concerns, incomplete work, delays, and potential scope or cost impacts; promptly elevate urgent issues.

• Coordinate responses among the Board, property management, consultants, and contractors so that decisions and required actions are addressed on time.

• Track change-order status, payment applications, allowances, contingencies, and supporting documentation; coordinate technical review and approvals by the responsible parties.

• Maintain focus on occupied-building conditions, resident impact, housekeeping, protection, work hours, and restoration of affected areas.

Financial Schedule and Closeout Management

• Monitor commitments, invoices, approved changes, forecasted costs, contingencies, cash flow, and overall budget status.

• Maintain and challenge project schedules, identify slippage, and obtain recovery plans or revised sequencing when needed.

• Coordinate punch-list completion, final inspections, permits and sign-offs, warranties, training, closeout documentation, and final payment requirements.

• Confirm that outstanding items are assigned and tracked through completion before recommending administrative closeout.

Qualifications

• Bachelor's degree in construction management, architecture, engineering, or a related field is required. Substantial directly relevant experience may be considered in lieu of the degree.

• A minimum of three to five years of relevant project management experience in construction, capital improvements, building restoration is required.

• Experience managing residential capital improvement projects in occupied New York City buildings is required.

• Experience managing several projects or properties concurrently is required.

• Working knowledge of construction practices, contracts, schedules, budgets, payment applications, change orders, and project closeout.

• Working knowledge of New York City Local Laws, agency requirements, and construction safety requirements applicable to residential capital improvement projects is required.

• Strong written and verbal communication skills, including the ability to prepare clear reports, meeting minutes, presentations, and resident notices.

• Strong organization, time management, critical thinking, and problem-solving skills, with close attention to detail and deadlines.

• Ability to work independently with remote supervision while collaborating effectively with PMG leadership and project teams.

• Proficiency in Microsoft Word, Excel, PowerPoint, Project, Monday.com and other project management or document-sharing platforms.

  Work Requirements

• Ability to follow AKAM's hybrid work schedule, requiring four days per week in the office and permitting one remote workday per week, subject to business and project needs.

• Ability to travel to assigned properties and attend site meetings, Board meetings, and other project meetings as required.

• Ability to access active construction areas and move through building and site conditions, with reasonable accommodation.

• Availability to address time-sensitive project matters outside standard business hours.

• Availability to attend project-specific monthly Board meetings, building annual meetings, and resident town hall presentations outside standard business hours, as required.
