Staffing & Scheduling Supervisor - Retail Operations

The Staffing & Scheduling Supervisor owns the labor plan for retail

operations at Citizens Bank Park. This person builds event-driven

schedules in accordance with the collective bargaining agreement,

administers the timekeeping and payroll systems for the hourly retail

workforce, and enforces time and attendance standards consistently and

fairly. Because staffing levels are fixed once schedules are published,

this role controls labor cost primarily through forecast accuracy at the

schedule build stage and through in-building redeployment during events.

Job Responsibilities

Scheduling & Labor Planning

• Builds and publishes event-based schedules for hourly retail staff in accordance with the collective bargaining agreement (CBA), matching headcount and skill mix to forecasted attendance, event type, and sales volume.

• Assigns shifts in seniority order as required by the CBA, ensuring senior employees receive their contractual entitlement to available hours before less senior employees.

• Maintains the current seniority roster and applies it accurately to all schedules, including premium events, holidays, and overtime opportunities.

• Documents the seniority basis for schedules to support grievances or audits.

• Redeploys staff between locations during events, moving associates from low-traffic to high-traffic points of sale to match actual demand without changing scheduled hours.

• Maintains cross-training and location-qualification records to support effective staff redeployment.

• Manages call-outs and coverage in accordance with CBA callback and assignment provisions.

• Owns forecast-to-headcount accuracy as the primary labor cost control. Conducts post-event schedule-versus-need reviews and applies findings to future schedules.

• Maintains availability, certification, and skill records that determine scheduling eligibility.

• Publishes schedules within CBA-required notice periods.

Timekeeping & Payroll Systems

• Reviews and approves timecards according to the payroll calendar, resolving missed punches, meal break exceptions, and overtime discrepancies before each close.

• Documents every timecard edit with a reason and supporting record. Does not adjust recorded time without documentation or permit work off the clock.

• Reconciles scheduled versus actual hours and reports variances, overtime drivers, and premium pay exposure to the operations leader each period.

• Serves as the first point of contact for employee pay inquiries related to hours worked and escalates unresolved items to HR and payroll within defined timelines.

Time & Attendance Discipline

• Tracks attendance occurrences, including tardiness, early departures, no-call/no-shows, and unapproved absences, against the attendance policy and CBA.

• Issues coaching and progressive discipline at defined thresholds, consistently across the workforce, with written documentation for each step.

• Observes union representation rights in investigatory and disciplinary meetings and adheres to CBA timelines for notice, discipline, and grievance responses.

• Partners with HR and Labor Relations on suspensions, terminations, and discipline involving accommodations, protected leave, or contract interpretation.

• Maintains complete, auditable attendance records for HR, Labor Relations, and grievance proceedings.

Team & Operations

• Onboards new hourly staff on clock procedures, break rules, schedule access, and attendance expectations before their first shift.

• Trains supervisors and leads on responsibilities within the timekeeping system.

• Supports seasonal ramp-up and high-volume event staffing, including hiring events and mass onboarding.

Qualifications

• QUALIFICATIONS* 3-5 years of scheduling, workforce management, or supervisory experience in a high-volume hourly environment. Stadium, arena, hospitality, or large-format retail strongly preferred.* Experience working under a collective bargaining agreement required, including building schedules by seniority entitlement, administering progressive discipline subject to just cause, and responding to grievances.* Hands-on experience administering a timekeeping or workforce management system (UKG/Kronos, Workday, ADP, or comparable). Administrator-level experience preferred over end-user experience.* Working knowledge of wage and hour fundamentals: overtime calculation, meal and rest break rules, and recordkeeping requirements.* Demonstrated ability to build accurate labor forecasts and hold to a published schedule.* Demonstrated ability to apply an attendance policy consistently and document discipline to a standard that withstands review.* Proficiency in Excel, including pivot tables and lookup functions, for labor reporting and variance analysis.* Available to work an event-driven schedule including nights, weekends, and holidays.This role may have physical demands including, but not limited to,lifting, bending, pushing, pulling, and/or extended walking and standing.This role may also require uniforms and/or usage of Personal ProtectiveEquipment (PPE).
