Academic Records Coordinator

Academic Records Coordinator II Position Number: 00280. FLSA Exempt. Full time. Appointment Type: Full Time. Type of Posting: General Public. Purpose of the Position: This position coordinates activities related to student degree, advising, and learner records; maintains and verifies academic records; ensures data integrity of academic records. It interprets and communicates complex university policies and federal laws, such as the Family Educational Rights and Privacy Act, and utilizes independent decision‑making within complex guidelines. Responsibilities Coordinate the maintenance, verification, and retention of student academic records in compliance with university policy and the Library of Virginia. Interpret and apply regulations, legal statutes, and institutional policies related to academic records. Communicate complex policies to students, faculty, and staff. Assist with the preparation and submission of New Employee Orientation and classified employee probation requirements. Manage interactions with the Commonwealth’s Alternative Hiring Process (AHP) and related accommodation documentation. This position is designated as a “responsible employee” with authority to report incidents of sexual violence or other student misconduct. This position is a “designated position” for emergency closing opportunities. Telework Eligibility: Eligible for periodic telework, subject to supervisor approval. Qualifications High school graduate or equivalent education/experience that equals a high school diploma. Experience working with confidential or classified information and detailed records with a high degree of accuracy. Proficiency with spreadsheet and database software; experience with SQL* and CMS, Banner or other Student Information System databases, Microsoft Office Suite. Strong oral and written interpersonal communication skills; excellent organization and time‑management skills. Ability to function well in high‑volume environments and to work independently with detailed information. Ability to exercise good judgment and decision making; willingness to accept responsibility and work cooperatively with a diverse population. Knowledge of higher education policies, procedures, and regulations. Additional Considerations Bachelor’s degree or higher. Experience in an institution of higher education; experience with confidential academic records. Supervisory experience. Salary and Benefits Salary starting at $41,121, commensurate with education and experience.
