Job Description The PT Specialist III issues procurement cards, provides assistance and training, audits transactions, runs reports, analyzes data, and reports audit findings to administrators. He or she provides assistance and training for purchasing, accounts payable and credit card processes to campus personnel and division managers, trains travel and expense prepay auditor, and acts as a backup. The Specialist III is responsible for cash handling, accounts receivable of student accounts, and ensuring effective operations of the department. He or she reviews and analyzes reports, records, and directives, providing guidance to students and relevant campus services regarding tuition, fees, payment plans, and collections. Essential Job Functions Analyze financial procurement card accounts and transactions; report and record violations; issue procurement card and travel and expense credit cards; maintain credit card spreadsheets and data. Provide training and assistance on purchasing guidelines to requestors and division managers; enter requisitions and contracts for business services; provide assistance with office of general counsel contracts and procedures. Provide instruction and direction to campus personnel on accuracy of direct pay request and accounts payable guidelines; verify and process direct payments. Train and assist Travel and Expense prepay auditor on the module as subject‑matter expert; act as backup. Create budget journals and JEs; perform year‑end processes; serve as backup for campus business office journal entries, bank deposits and general ledger reconciliations; create general ledger journals such as transfer funds from suspense accounts to corresponding accounts. Assist students with account finance and payment activities related to receivables, billing and collection. Manage third‑party billing, collection and reporting functions on student accounts to ensure accuracy and timeliness. Review, validate and adjust student accounts for tuition waiver and fees in accordance with state and financial aid guidelines. Assist cashiers with daily functions as needed; record refund money for vending machine; request vendors to deliver refunds. Sit on various campus hiring committees for staffing coordination and selection. Record students receivables payments and balancing at the end of work session; prepare student receivables deposits. Deliver instructions to students for setting up payment plans online; assist with manual payment plans; facilitate completion of financial agreements and 1098‑T forms; help create refund profiles online. Deliver instructions to employees to fill out employee waivers; email waiver forms; enter waivers into system. Assist students with different waivers such as dual credit, early college, state, police and firefighters waivers. Knowledge, Skills and Abilities Strong analytical skills and high level of accounting knowledge. Proficiency with personal computer using standard software applications. Excellent interpersonal and organizational skills for interacting, coaching and managing work. Effective communication skills. Ability to organize functions to meet deadlines and regulatory requirements. Capacity to transfer knowledge to subordinates and higher authorities; determine strategies for tasks. Adaptability to changing or unpredictable requirements. Follow specific procedures in a collaborative environment. Treat problems referred by coworkers or citizens with responsive problem‑solving. Prepare and process purchase orders. Make recommendations that affect the budget. Physical Abilities The work is sedentary, with occasional walking, standing, bending, carrying light items (papers, books, small parts) or driving an automobile. No special physical demands are required. Work Schedule and Conditions Equipment used: PC workstation, calculator, phone, general office equipment in a climate‑controlled office. Interface with internal and external contacts as needed. Work performed in a climate‑controlled office with minimal exposure to safety hazards. Required Qualifications High school diploma or GED.
