We are looking for a detail-oriented Accounting Assistant to join our team. In this role, you will be responsible for accurately managing financial records and transactions, maintaining confidentiality, and supporting with daily operations. This position requires strong organizational skills and proficiency in handling both accounts payable and receivable processes. This position is on-site in Coral Gables FL. Regular office hours. LOCAL APPLICANTS ONLY! THIS IS A FULL TIME POSITION.

 

Key Responsibilities:

  • Perform data entry and maintain accurate and up-to-date financial records.
  • Process accounts payable and accounts receivable transactions.
  • Deduction Analysis & Resolution: Research and validate customer chargebacks for legitimacy (e.g., pricing, shipping errors, compliance penalties).
  • Dispute Management: Initiate disputes for invalid deductions through customer portals (e.g., Amazon, Walmart) and recover funds.
  • Documentation & Reporting: Maintain detailed logs of deductions, provide status updates to management, and assist in month-end close and aging analysis.
  • Collaboration: Coordinate with Logistics, Sales, and Credit teams to identify root causes of recurring chargebacks. Assist with bank reconciliations and general ledger entries.
  • Prepare, track, and ensure the timely processing of invoices and payments.
  • Respond to inquiries regarding financial transactions and records.
  • Collaborate with team members to streamline accounting processes and increase efficiency.
  • Provide administrative support and other duties as required.


Required Qualifications:

  • High school diploma or equivalent (associate’s degree or coursework in accounting/finance is a plus).
  • Proven experience as an accounting clerk or in a similar role.
  • Familiarity with accounting principles and procedures.
  • Proficiency in QuickBooks Online, Microsoft Excel, or other accounting software (preferred).
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy in data entry and calculations.
  • Ability to work independently and handle confidential information.
  • Effective written and verbal communication skills.
  • English proficiency is a must
