Administrative Assistant II, Adult Sickle Cell Program - Hematology & Medical Oncology

The Administrative Assistant (AA) II for the Adult Sickle Cell Program reports to the Benign Hematology Administrative Manager. The Administrative Assistant II will work closely with the advanced practice provider (APP) team to coordinate administrative activities relating to patient care. Duties will include assisting with scheduling appointments, fielding medication refill requests, obtaining authorization for sickle cell treatments including on-site infusions and the prescribing of specialty medications, as well as the increased use of electronic consults.

• Provide administrative support to the Medical Director and the advanced practice providers (APP) of the Sickle Cell Program. 
• Track the treatment plan of patients by maintaining detailed spreadsheets and/or databases.
• Working with the Ruttenberg management team, assist with the scheduling of patient infusions and ensure that they are within the established treatment timeframe.
• Working with the finance/billing team, assist with appropriate authorization and approvals for patient infusions.
• Assist with the prescription of medications. This includes fielding phone calls from patients for refill requests, working with specialty pharmacies to submit requested documentation as necessary, and scheduling peer-to-peer appointments as needed. 
• When needed, intervene with insurance companies to facilitate authorizations. 
• Insure that AMION is updated for inpatient coverage. 
• Assist with scheduling ambulatory appointments in the Ruttenberg Treatment Center and The Center for Advanced Medicine. 
• Prepare travel reimbursements and expense reports. 
• Serve as a liaison with other departments or external parties as necessary to accomplish objectives and or complete projects or assignments. 
• Screen and prioritize incoming email/mail for needed action and follow up. Respond to email/mail where appropriate or distributes email/mail requiring attention to appropriate individual(s). 
• Screen telephone calls, answer inquiries or direct caller to the appropriate individual for further information and/or resolution. 
• Perform other related duties as assigned.
  

• Associates degree or equivalent combination of experience (Bachelors preferred).
• 4+ years related administrative or business experience
• Prior experience in an academic or healthcare environment preferred
• Prior experience with use of Excel and/or data analysis preferred
• Ability to work proactively and independently as necessary with minimal supervision preferred
• Demonstrated strong written and oral communication skills preferred
• Knowledge of Microsoft Teams, Word, Outlook, Zoom preferred

Compensation

The Mount Sinai Health System (MSHS) provides salary ranges that comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $23 - $36 Hourly. Actual salaries depend on a variety of factors, including experience, education, and operational need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
