We are actively hiring a Patient Scheduler to support our Valkyrie Clinical Trials Century City, Los Angeles, California site.

LOCATION : Onsite, Century City, CA
FLSA : Non-Exempt
HOURS : Monday to Friday, Day Shift, 40 hours per week
COMPENSATION : $22-$28 per hour (depending on experience)

PURPOSE: Serves as a first point of contact for patients and study participants, coordinating appointments and helping to ensure smooth day-to-day operations in alignment with clinic schedules. Handles a high volume of calls and scheduling requests while maintaining accuracy and patient confidentiality.

ESSENTIAL JOB FUNCTIONS :

A.    Coordinate, schedule, reschedule, cancel, and follow-up on patient appointments within a site or across multiple sites.

B.    Answer incoming calls and respond to patient inquiries regarding appointments, office hours, and general scheduling questions.

C.    Verify patient insurance information and confirm eligibility prior to appointments.

D.    Enter and update patient demographic and insurance data accurately in the EMR/practice management system.

E.     Send appointment reminders via phone, text, or email.

F.     Coordinate referrals and follow-up appointments with specialists as needed.

G.    Manage waitlists and fill last-minute cancellations to optimize provider schedules.

H.    Communicate with patient care and front desk staff as well as other clinical staff regarding scheduling conflicts, urgent add-ons, or provider availability changes.

I.      Meet all deadlines established by Flourish Research SOPs, policies, and procedures. 

J.      Represent Flourish Research in a professional and courteous manner (verbal, written, and in appearance) during all interactions with sponsors, physicians, physicians' office personnel, participants, Flourish Research employees, Flourish Research contract personnel, as well as any other person(s) when carrying out task and responsibilities. 

K.    Maintain confidentiality of information and issues relating to patients, study participants, protocol, and/or contracted entities. 

L.     Comply with HIPAA, GCP, and clinic policies.

M.   Assist with other front-office, administrative, and operational duties as needed, including cross-functional coverage of front desk duties as required.

N.    Additional duties as assigned or required by management. 

PHYSICAL REQUIREMENTS AND/OR ENVIRONMENTAL FACTORS:

A.    Work is normally performed in a typical interior/office work environment.

B.    Occasional local travel may be required.

C.    Daily computer use.

D.    Ability to properly lift 10 pounds and occasionally more than 10 pounds.

E.     Frequent contact with patients, physicians, and other center staff. 

F.     Ability to work in an environment which at times may be stressful, including frequent interactions with others, interruptions, multiple calls and inquiries, and potentially emotional situations. 

G.    Manual dexterity to operate a computer, telephone, copier, fax, and other such office equipment as necessary. 

H.    Occasional overtime work as needed. 

Requirements

MINIMUM REQUIREMENTS:

Education: High school diploma or equivalent required; some college coursework preferred.

Experience: 1+ years of experience in medical scheduling, front-office healthcare administration, or a related customer service role. Experience working in a multi-provider or high-volume clinic preferred.

Knowledge and Skills: 

A.    Familiarity with electronic medical records (EMR) and practice management software strongly preferred.

B.    Strong understanding of medical terminology and insurance verification processes preferred.

C.    Prior experience with insurance authorizations and referrals.

D.    Excellent verbal and written communication skills. Able to communicate clearly, professionally, and effectively in person, in writing, or by phone. 

E.     Ability to collaborate and align with both internal and external stakeholders. 

F.     Excellent customer service skills for both inter and intra department. 

G.    Demonstrates professionalism, confidentiality, and sound decision-making. 

H.    Ability to manage high volume calls, messages, call routing, and follow-up communications. 

I.      Ability to maintain records and documentation in an accurate and timely manner. 

J.      Ability to communicate effectively with patients to provide clear and thorough instructions, answer questions, and complete required processes. 

K.    Excellent computer skills to include Office365 products. 

L.     Ability to learn and demonstrate compliance with company policies and procedures. 

M.   Strong organizational skills and ability to multitask in a fast-paced environment

N.    Ability to work both independently and in a team environment.
