Description:
Reports to Hospital Director
The Richmond SPCA is a non-profit organization located in the heart of Richmond, Virginia. As a leader in the field of animal welfare, we are cultivating a community committed to saving, protecting and enriching animal lives with a mission to provide education and resources to achieve and sustain a no-kill community. Annually, we rescue, rehabilitate and find homes for about 4,000 homeless animals while also providing our region with vital safety net programs designed to keep thousands of pets in loving homes and out of shelters. Our values of collaboration, creativity, honesty, inclusion and respect guide not only what we do – but how we do it.
Our Susan M. Markel Veterinary hospital provides low-cost veterinary care to pets recently adopted from our humane center and pets belonging to clients of modest means. The goal of our veterinary hospital is to make veterinary care for companion animals more accessible to keep pets in loving homes.
The Inventory Specialist plays an essential role in our mission to provide accessible veterinary care to pets in our community. This role works closely with hospital leadership and medical staff to support high-quality patient care through effective inventory management, support of online and in-house pharmacy workflows, and coordination of medical and diagnostic equipment care.
ESSENTIAL FUNCTIONS:
- Manage all aspects of hospital inventory, including purchasing, receiving, tracking, auditing, and budget oversight for pharmaceuticals, medical supplies, food, consumables, and operational supplies.
- Ensure inventory accuracy, regulatory compliance, and proper handling, storage, documentation, and disposal of pharmaceuticals and controlled substances.
- Oversee pharmacy operations, including online pharmacy services, third-party prescription requests, and in-house refill processes.
- Monitor pharmaceutical updates, recalls, and safety alerts and coordinate appropriate operational responses.
- Coordinate maintenance, repair, calibration, and performance monitoring of veterinary medical equipment.
- Develop and maintain workflows, protocols, and inventory control processes that improve efficiency, compliance, and operational effectiveness.
- Maintain Safety Data Sheet (SDS) records and support OSHA, DEA, state, and federal regulatory compliance.
- Manage inventory reporting, cost-of-goods tracking, and initiatives that support responsible pharmaceutical utilization and hospital financial performance.
QUALIFICATIONS, SKILLS & EXPECTATIONS
- Professional, accurate, and timely communication with the public and colleagues via email, phone, and in person.
- Strong ability to multitask, follow direction, and adapt to changing priorities and demands.
- Maintains exceptional accuracy and accountability in handling pharmaceuticals, controlled substances, and medical records, ensuring complete, timely, and compliant documentation in accordance with DEA, state, and organizational requirements.
- Demonstrates integrity and commitment to the hospital's mission of providing accessible care.
- Reliable, resourceful, and self-motivated with a positive, can-do attitude and strong work ethic.
- Unwavering commitment to patient wellbeing.
- Able to work independently with excellent time management and prioritization skills.
- Strong computer proficiency and ability to quickly learn new systems; experience with AVImark and DaySmart Vet preferred.
- Knowledge of basic wellness and medical concepts.
- Experience with inventory management and recordkeeping.
- Veterinary experience and inventory management experience preferred.
- Strong organizational, multitasking, and prioritization skills with exceptional attention to detail.
- Flexible and adaptable in a high-volume, fast-paced environment.
- Weekday availability required; no weekend work.
- Must be 18 years of age or older with reliable transportation, including during inclement weather.
PHYSICAL JOB REQUIREMENTS
- Routinely lift and carry 40-50 pounds.
- Work safely around animals of varying temperaments and medical conditions, as well as animal waste, cat litter, loud noises, and chemicals.
- Perform physical duties including repetitive arm movements, bending, reaching, kneeling, and stooping.
- Remain on your feet for up to 8 hours per shift.
WORK ENVIRONMENT
- Rapid pace with exposure to potential hazards including animal waste and disinfectants.
- High levels of noise.
- Potential for animal bites and scratches and diseases that are zoonotic (can be transmitted from animals to people).
- Supportive, collaborative team environment that encourages and celebrates creativity and resourcefulness.
