Facilities Coordinator

Facilities Coordinator (Excel + Vendor / Work Order Support)
Woonsocket, RI (On-site Tuesday–Thursday required)
Schedule: Monday–Friday, 8:00 AM – 4:30 PM
Pay: $25.00/hr
If you’re an organized, detail-focused coordinator who enjoys tracking data, supporting vendors, and keeping work moving across multiple priorities, this Facilities Coordinator role could be a great fit. You’ll support a retail facilities/trade program by monitoring work orders, assisting with vendor proposal review, and producing accurate KPI and compliance reporting. Training is provided, and you’ll work with a team that is primarily office-based.
What You’ll Do
- Support day-to-day coordination of service providers and facilities/trade vendors
- Assist with vendor proposal/quote review and approval tracking
- Track service levels (SLAs), compliance items, and performance metrics
- Monitor aging work orders and help maintain clean, accurate reporting
- Build recurring Excel reports using pivot tables, VLOOKUP/XLOOKUP, and strong formatting
- Track KPIs tied to work orders, compliance metrics, and service levels
- Help with administrative tracking tasks such as mail sorting/tracking and violation tracking
- Manage multiple workstreams at once and pivot as priorities shift
What We’re Looking For
- Verifiable High School Diploma or GED required
- 2+ years of experience in coordination, administrative operations, facilities support, trade support, property/vendor program support, or similar work
- 2+ years supporting vendors/service providers (proposals, SLAs, performance tracking, or business reviews)
- Strong reporting/analytics background with high attention to detail
- Intermediate to advanced Excel required (pivot tables, VLOOKUP/XLOOKUP, large datasets)
- Experience tracking KPIs, compliance metrics, service levels, or work order reporting strongly preferred
- Comfortable in a fast-paced environment; able to prioritize and manage stress effectively
- Strong MS Office skills (Excel, Outlook, Word)
- Must be able to work on-site in Woonsocket, RI Tuesday–Thursday consistently
