Maintenance Administrative Assistant, 12 month F.L.S.A. Non-Exempt

Twelve month employment with benefits

Qualifications:

• Experience working in a professional office setting.
• Strong computer skills and proficiency in Microsoft Office (Word, Excel, PowerPoint, Publisher, and Outlook).
• Operate personal computer, laptop computer, peripheral computer equipment, and other office equipment with a high degree of skill and be highly accurate with numbers.
• Highly motivated with strong organizational skills; able to coordinate multiple tasks at one time.
• Self-starter and able to work independently.
• Strong telephone and interpersonal communication skills.
• Ability to lift 40 lbs. to shoulder height occasionally.

Essential Job Functions:

• Answer phone calls and keep a daily log.
• Create work orders from phone calls, emails and inter-office requests.
• Create Purchase Orders for Maintenance and custodial purchases, and place orders for supplies needed for district repairs.
• Maintain files for Maintenance and Custodial Purchase Orders.
• Maintain completed work order records and send out monthly completed work order forms to each building and department.
• Maintain account balances used by the Maintenance Department. Transfer money requests when needed.
• Check in deliveries for Maintenance and Custodial supplies. Order office supplies, break room supplies and work order forms.
• ECC Soda Machine purchase and fill machine. Maintain control of money from machine.
• Create monthly calendars for the maintenance office with scheduled events and employee time off.
• Check HVAC computers at buildings. Check throughout the day to make sure boilers and chillers are operating and control room temps are suitable. Change room temps and fan operations per phone calls from buildings with air issues.
• Schedule pick-up and delivery of district tables/chairs for special events such as Mineral Water Bowl, College Career Day, Graduation, Prom, Greg Williams Banquet, school parties, etc.
• Enter all leave requests for the Maintenance Department. Maintain log on employees.
• District Asbestos- Maintain asbestos files for each district building. Building Periodic Surveillance forms need to be completed, and sent out to each building every 6 months. Set up appointments with an asbestos consultant company to examine district buildings for presents of asbestos every 3 years. Maintain those findings and files.
• Schedule once a year: District wet pipe and backflow inspections. Cleaning of Elkhorn septic tank, and all kitchen grease traps. Fire extinguisher and annual system inspections. Career Center separation drain cleaning District shred items LP pressure test on Elkhorn propane tanks Boiler inspections Elevator inspections.

• Work additional hours or overtime as directed.
• Other duties as assigned by the supervisor.
