The Outpatient Admitting Clerk plays a critical role in ensuring a smooth and efficient patient intake process within outpatient healthcare settings. This position is responsible for accurately collecting and verifying patient information, insurance details, and appointment data to facilitate timely and effective care delivery. The clerk serves as the first point of contact for patients, providing a welcoming and professional experience while maintaining strict confidentiality and compliance with healthcare regulations. By managing patient records and coordinating with clinical and administrative teams, the Outpatient Admitting Clerk helps optimize patient flow and supports the overall operational success of the outpatient facility. Ultimately, this role contributes to enhancing patient satisfaction and the quality of healthcare services provided.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a healthcare administrative role, preferably in patient registration or admitting.
  • Basic knowledge of medical terminology and healthcare insurance processes.
  • Strong communication and customer service skills.

Preferred Qualifications:

  • Experience working in an outpatient or ambulatory care setting.
  • Familiarity with HIPAA regulations and healthcare compliance standards.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.

Responsibilities:

  • Greet and assist patients upon arrival, ensuring a positive and professional first impression.
  • Collect, verify, and enter patient demographic, insurance, and medical information accurately into the electronic health record system.
  • Schedule and confirm outpatient appointments, coordinating with clinical staff to optimize patient flow.
  • Obtain necessary authorizations and consents, ensuring compliance with healthcare policies and regulations.
  • Maintain confidentiality of patient information in accordance with HIPAA and organizational standards.
  • Communicate effectively with patients, healthcare providers, and insurance companies to resolve any discrepancies or issues.
  • Prepare and process patient admission paperwork and documentation promptly and accurately.
  • Assist with billing and insurance verification processes as needed to support revenue cycle management.

The Outpatient Admitting Clerk utilizes strong organizational and communication skills daily to manage patient intake efficiently and accurately.
