Administrative Assistant

Part-time

Schroeder-Manatee Ranch

POSITION SUMMARY:

The Administrative Assistant plays a key support role in ensuring the Lakewood Ranch Stewardship District (LWRSD) operates smoothly and efficiently. This position supports LWR Town Hall North operations by assisting residents and visitors with a wide range of inquiries.

This role is regularly scheduled to work assigned days at Town Hall and is also expected to provide coverage for additional days as needed, including during staff absences or PTO. A strong commitment to customer service, flexibility, and the ability to adapt to changing operational needs are essential.

In addition to front-facing responsibilities, administrative duties include working with Excel spreadsheets, word processing, organizing, scanning, archiving, and filing. The ideal candidate is highly organized, detail-oriented, and is proficient with computer programs.

SCHEDULE:  Monday and Tuesday 8:30 AM to 5:00 PM, w/ 30 min for lunch. With availability to cover some other weekdays when needed.

ESSENTIAL FUNCTIONS:

  • Serve as the primary point of contact at Town Hall North, responding to visitor inquiries and providing assistance with programs, activities, and facility-related needs.
  • Deliver prompt, accurate, and courteous service to customers, vendors, and external agencies
  • Provide customer service coordination and issue resolution related to park programing software (Civic Rec)
  • Perform general administrative tasks in support of the office, its directors, and managers.
  • Manage incoming communications, including email processing.
  • Office supplies ordering
  • Performs special projects for the Executive Director and District staff
  • Utilizes Excel spreadsheets for tracking many aspects of the District business
  • Assist with records management, including scanning, organizing, compiling, filing, copying, disseminating, and recording documents and District agreements.
  • Additional Administrative duties as needed
  • Processing accounts payable requests for submittal to the District's accounting firm
  • Organizing staff credit card receipts for submittal to the District's accounting firm

SKILLS & ABILITIES:

  • Strong customer service skills with a friendly, approachable, and community-focused demeanor
  • Ability to work independently while also serving as a reliable backup and team support resource
  • Knowledge of general administrative practices and modern office procedures
  • Proficiency in Microsoft Office Suite and ability to learn various software systems
  • Highly organized with excellent attention to detail
  • Strong multitasking and time management abilities
  • Ability to handle sensitive situations with professionalism, tact, and diplomacy
  • Flexibility and adaptability to support changing operational needs, especially in a backup capacity
  • Notary experience a plus
  • Valid driver's license with a good driving record

WORK ENVIRONMENT:  Primarily office-based, with the main work location at LWR Town Hall North and occasional duties performed at the Headquarters building.
