Director of First Impressions

Position Summary:

The Director of First Impressions serves as a welcoming face and voice of our agency. This role is responsible for creating exceptional first impressions for clients, visitors, and team members while ensuring the office operates efficiently each day. The ideal candidate is organized, personable, dependable, and takes pride in creating a positive, professional environment where people feel valued from the moment they walk though the door or call our office.

Key Responsibilities:

• Greet clients and visitors with warmth, professionalism, and hospitality.
• Answer and direct incoming phone calls promptly and courteously
• Assist with general questions and connect clients with appropriate team members
• Accept insurance payments in person and over the phone while following agency procedures for accurate processing and documentation.
• Perform a variety of administrative duties to support agency operations
• Collect, sort, and distribute incoming mail and prepare outgoing mail and packages.
• Assist with filing, scanning, data entry, and documentation organization.
• Support agency staff with miscellaneous administrative projects as needed.
• Monitor and order office supplies, kitchen and bathroom items, and other office products to maintain appropriate inventory levels.
• Coordinate deliveries and maintain organized storage areas.
• Help ensure conference rooms and common spaces are prepared for meetings and visitors.
• Maintain a clean, organized, and welcoming reception area and common spaces
• Take initiative to create a friendly, upbeat atmosphere for clients and coworkers
• Represent the Agency’s values through professionalism, positivity, and outstanding customer service.
• Other duties as assigned
• Maintain effective communication with team members and support the culture of the company honoring our core values of "Tell the Truth. Work Hard. Have Fun!"

Qualifications:

• Highschool Diploma or equivalent required
• Excellent verbal and written communication skills
• Strong organizational skills and attention to detail
• Comfortable using computers, including Microsoft Office
• Ability to multitask while maintaining a positive and professional demeanor
• Dependable, self-motivated, and committed to providing exceptional service
• Insurance licensure is not required for this role, however, getting licensed will open doors for growth opportunities
