Research Administrator II

Job No: 540126 Work Type: Full Time Location: In the State of Florida Categories: Grant or Research Administration Department: 33010000 - HP-OFFICE OF THE DEAN Classification Title: Research Administrator II Classification Minimum Requirements Bachelor's degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience. Job Description The Research Administrator II is part of the College of Public Health and Health Professions (PHHP) Research Administration Core and reports to the Research Administration Manager. The role assists PHHP faculty with primarily post‑award administration of sponsored activities, requiring up‑to‑date knowledge of the Uniform Guidance (2 CFR 200), state and university regulations, policies, and procedures relevant to externally funded research grants. The incumbent must work independently as well as within a team. Post‑Award UFirst Responsibilities • Responsible for the financial management of sponsored research awards for an assigned subset of PHHP faculty. • Navigate UFirst for all post‑award activities, establishing award records in UFirst and PeopleSoft upon receipt of the notice of award, grant, or contract. • Create subprojects and subcontracts as applicable, set chartfield and combination code, complete initial effort commitment, and track cost‑sharing per agency, university, and federal regulations. • Transfer grants into and out of PHHP as needed for faculty transfers. • Enter change‑of‑award transactions (budget transfer approvals, incremental funding, no‑cost extensions, supplemental funding, non‑financial reporting, etc.) into UFirst, ensuring proper navigation and justification. • Assist faculty with sponsor communications, drafting new budgets, completing standard agreement and subaward forms, and routing documents through the appropriate UF offices. Post‑Award Fiscal Review • Review and approve all financial transactions directly charged to sponsored awards for compliance with cost principles defined in the UF Cost Accounting Standards and sponsor guidelines. • Use myUF Marketplace, MyInvestiGator, and other UF accounting systems to maintain accurate post‑award reports and files on research‑core and departmental drives. • Conduct quarterly reviews with faculty to approve charges, draft reports and projections, and inform faculty of current charges and future balances. • Address mis‑charged expenditures, coordinate necessary transfers, and ensure all charges align with award parameters and special requirements. • Facilitate close‑out procedures at award completion, verifying appropriate expenditures, closing encumbrances, closing or transferring recurring charges, satisfying cost‑sharing requirements, and confirming a non‑negative balance. • In the event of audits, collaborate with relevant stakeholders to supply documentation, keeping sufficient records to justify all expenses. Effort Management and Internal Fiscal Management • Ensure effort commitments are entered and updated correctly over the life of each sponsored award in UFIRST and myUFL. • Coordinate payroll allocations for faculty and staff within myUFL Department Budget Tables, working with other RAs and department administrators to maintain consistency with original effort plans. • Monitor charges on contingent pay funds, ensuring correct allocation and timely transfer to the appropriate sponsored award or account. Pre‑Award Responsibilities • Support pre‑award activities such as submission of updated budgets, supplements, corrected budgets, non‑streamlined progress reports, and other traditional pre‑award duties. • Review the request for application (RFA) selected by the faculty for administrative requirements, supporting proposal submission. • Develop accurate budgets compliant with federal, state, sponsor, university, college, and departmental policies, ensuring correct indirect cost rates and application terms. • Enter, route, and submit proposals to DSP for review and final submission to the sponsoring agency, including demographic information, sponsor details, budget entry, and document uploads to UFirst and sponsor portals. Team Leadership and Mentorship • As a Research Administrator II, the incumbent is expected to develop expertise and take leadership in solving new policies and problems, with guidance from the Director of Research Administration, Research Administration Managers, and Research Administrator IIIs in the research core. Qualifications • Bachelor's degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience. • Preferred: Thorough knowledge of UF and NIH research funding guidelines, federal regulations and procedures. Experience with online grant submissions, forms, and referencing. Knowledge of MS Word and Excel, including spreadsheet manipulation, and sound financial practices. Experience with PeopleSoft and/or Workday fiscal and grant modules. Knowledge of UF personnel, payroll policies, and cost accounting procedures. Ability to work within strict deadlines, under pressure, and prioritize tasks. Attention to detail and strong organizational skills. Drive to complete tasks, problem‑solve, and operate effectively and independently in a high‑traffic office. Professional interaction with staff, faculty, college and university contacts, and efficient time management. Excellent phone and organizational skills.
