Facility Assistant Manager (Hicksville/Broadway)

Position Title & Location Facility Assistant Manager (Hicksville/Broadway), Hicksville, NY 11801 Job Summary The Facility Assistant Manager works under the supervision of and is responsible for assisting the Facility Manager in the operation and maintenance of commercial office facilities, resolving maintenance issues, addressing safety and operational matters, scheduling work and services, and keeping records necessary for the proper functioning of the property. Job Responsibilities Act as liaison between Facilities occupants/tenants and the Facility Manager for work requests, identifying and resolving problems in a timely manner. Review tenant/occupant requests relative to lease obligations and generate work orders for task completion. Monitor and maintain the physical aspects of structures, equipment, and outdoor areas, including electrical, plumbing, roof, walls, and appliances. Write work orders for Maintenance Mechanics based on information from the Facilities Manager and approved tenant/occupant requests. Draft memos and/or contact occupants/tenants regarding Facilities issues and preventive maintenance scheduling. Schedule and participate in 24‑hour emergency coverage to protect personnel, equipment, and property. Assist in establishing, implementing, and monitoring a workplace safety program in the Facilities. Assist the Facility Manager in preparing a schedule for preventive maintenance, capital repairs, and replacements of non‑serviceable equipment. Keep records updated for changes to internal occupant space assignments and report monthly to the Facility Manager. Meet regularly with the Facility Manager to review procedures and discuss problem areas. Administer suite occupancy, including issuing introductory letters for emergency contacts and evacuation procedures. Assist with move‑in/out projects as required. Oversee bidding and implementation of tenant improvement and capital improvement projects on the property. Inspections of snow removal, landscaping, janitorial, rubbish, and maintenance/repairs on grounds per contractual requirements. Develop and maintain positive relationships with repair vendors and Facilities contractors. Perform special projects and additional duties as required. Maintain compliance with applicable federal, state, and local laws and regulations. Job Requirements Education: High School or equivalent (GED, HiSET, TASC). Minimum Experience: 4+ years in Facilities or real‑estate operations, with administrative office practices and procedures, and coordinating and scheduling experience. Preferred Qualifications Experience with value pricing and proposal comparisons. Job Competencies Knowledge of safety procedures related to Facilities management functions. Knowledge of Facilities structures and general maintenance. Strong verbal, written, and interpersonal communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook). Exceptional organizational, prioritization, and follow‑up skills. Excellent research and analysis skills. Detail oriented and strong customer service skills. Ability to manage multiple tasks simultaneously and meet deadlines. Ability to build and maintain effective relationships with stakeholders. Commitment to fostering a positive work culture and productive environment. Physical Demands The job requires a moderate degree of physical exertion and stamina such as standing, sitting, walking, driving, or infrequent lifting.
