Job description:
The position will oversee activities related to office management, accounting, human resources, payroll, technology and compliance for a small office environment. We are looking for an energetic professional who doesn't mind wearing multiple hats. The candidate should be experienced in handling a wide range of administrative and executive support tasks and be able to work independently with little or no supervision. They should be well organized, flexible and enjoy the administrative challenges of supporting an office.
Responsibilities
- Set up procedures and standards to guide the operation of the office
- Assist and maintain general Human Resource records policy development and documentation, employee onboarding, offboarding, and maintain performance files
- Manage relationships with vendors and service providers
- Prepare client invoices, follow up on outstanding AR, and record payments
- Prepare and record AP
- Update and maintain documentation for tax compliance
- Implement procedural and policy changes to improve operational efficiency
- Occasionally will need to drive to drop off/pick up people and/or items
- Prepares mailing, shipping, and supplies
- Ensure office operations are organized, filing systems are designed, and office supply inventory is maintained
- Ensure security, integrity and confidentiality of data
- Provide backup for office phone
- Provide general support to visitors
- Complete special projects as directed
Required Qualifications
- 4-year college degree or 2-year college degree + equivalent relevant experience
- Knowledge of human resources management practices and procedures
- Proven office management or administrative experience
- Knowledge of accounting, data and administrative management practices and procedures
- Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills
- Proficient in MS Office and Accounting Software
- Driver's license and reliable vehicle
Preferred Qualifications
- Knowledge of truck equipment or auto parts industry
- Proficient in Peachtree (Sage 50 Accounting)
- Dealership experience: car, truck, equipment
- MN Sales tax processing / payment. (MN, Saint Paul, Ramsey, etc.)
- MN Dealer: plates, tabs, new/used sales
- Federal Excise Tax. Reporting, EFTPS payments.
Work Location: In person
Hours: Mon-Fri, 7/7:30AM-4/4:30PM
