Summary About the Team and the Program The Pathway Gap Data and Systems Coordinator works within the Department of Community Engagement and Postsecondary Pathways (CEPP) at New Visions for Public Schools. Our vision is that every young person in New York City can clearly see, navigate, and access best‑fit career pathways, supported by shared civic infrastructure that helps the adults advising them guide the way. Reporting to the Associate Director of Pathway Gap, the Data Coordinator plays a key role in the success of the Pathway Gap Initiative —a cross‑sector collaboration of more than 75 organizations designed to address the systemic challenges that make it difficult for youth‑serving professionals to connect young people to postsecondary and workforce opportunities. About the Role The role owns the accuracy, completeness, and timeliness of the program data that powers the New Visions Career Directory. The main focus for the first two years of the role is launching the project’s new Training Dates solution—a not‑yet‑built system for surfacing real‑time training program dates and application deadlines, and ensuring young people have an actionable next step. Because the Training Dates solution is a new effort, this role will be central to its earliest stages: Piloting the data collection process with a small initial cohort of training providers (~30 programs) Identifying and troubleshooting issues as they arise Helping shape what it takes to scale the approach in future phases Working closely with the Associate Director of Pathway Gap to liaise with the technology team, translating pilot learnings into clear design requirements Beyond the pilot, you’ll work directly with workforce training providers to collect, verify, and maintain program information—building the kind of trusted relationships that keep data accurate as programs evolve. Core Responsibilities 1. Training Dates Solution: Pilot & Scaling Pilot Cohort Coordination: Serve as the primary point of contact for the initial pilot cohort of organizations, representing approximately 30 programs, guiding them through the new data submission process to guarantee data completeness, clarifying data requirements, and ensuring clear communication around the strategic goals of this initiative. Process Troubleshooting & User Testing: Identify friction points, data gaps, and breakdowns in the data collection process as they emerge—troubleshooting issues directly with providers and flagging systemic problems to the Associate Director of Pathway Gap and technology team. Participate in user acceptance testing for product features before and after launch to curate and elevate feedback and concerns. Scaling Refinement: Contribute pilot‑informed recommendations on what’s needed to refine and scale the solution beyond the initial cohort, based on provider and user pain points, inclusive of process and workflow changes, automation and process optimization opportunities, collection of additional data points central to the initiative, and continuous improvement ahead of subsequent rollouts. Help the team identify opportunities for greater efficiency and consistency as the number of participating programs grows, and use feedback to inform reporting to the Associate Director of Pathway Gap and funders. 2. Directory & Systems Maintenance Career Directory Content Maintenance and Verification Audits: Update program information directly within the Career Directory’s content management system, ensuring listings are current, properly formatted, and reflect the most recent verified data. Conduct scheduled audits of existing program listings to confirm that programs are still active, accurately, described, and correctly categorized. Identify and resolve inconsistencies, outdated information, or gaps in program data, applying close attention to detail to maintain a high bar for accuracy across the Directory. Data Outreach: Proactively reach out to providers via phone and email to request updated information, clarify details, and follow up on outstanding data needs, balancing persistence with professionalism. Respond to provider questions and concerns about how their program information appears in the Directory, as well as Directory data standards, and elevate more complex issues to the Associate Director of Pathway Gap as needed. New Program Sourcing and Research: Research and source information for new training programs to be added to the Career Directory, ensuring all required fields are complete, accurate, and consistent with established data standards. 3. Relationship Management Partner Engagement: Build and maintain strong, trusted working relationships with workforce training providers, serving as solutions‑oriented point of contact for data collection and program updates. Feedback Loops: Solicit ongoing feedback from training providers about the data collection process itself—identifying friction points, unclear requirements, or process improvements that would make it easier for providers to keep their information current. Relay provider feedback to the Pathway Gap and technology teams to inform future tool and process improvements. Cross‑Team Coordination: Coordinate with the broader Pathway Gap and technology teams to relay provider feedback that may inform future improvements to data collection tools and processes. Committee mobilization: Partner with the project lead to manage the operations of the cross‑organizational Quality and Standards Committee, including leading relevant monthly subcommittees, and supporting the planning and execution of three annual in‑person convenings. Qualifications Required Education and Experience Education: Bachelor’s degree or equivalent blending of academic and applied experience. Professional Experience: 2-4 years of experience in operations, program support, content management, or a related field. Data Collection + Quality Assurance Experience : Demonstrated experience compiling and maintaining accurate, well‑organized data sets, including spotting inconsistencies and resolving discrepancies. External Communication: Experience conducting outreach and communicating with external partners or providers via phone and email to gather or verify information. Familiarity with the NYC workforce development ecosystem , including training providers, career pathways programs, and the types of credentials and outcomes they offer, strongly preferred. Required Knowledge and Skills Strong attention to detail, with the ability to verify information against source materials and maintain high data accuracy across a large, frequently changing data set. A friendly, persistent, solutions‑oriented approach to building and sustaining relationships with both new and known external partners. Ability to listen actively, ask clarifying questions, follow through independently, and know when to elevate. Comfort with ambiguity and shifting practices: energized rather than thrown off by the early‑stage nature of a new initiative, with ability to bring structure and patience to shifting operational workflows and still‑developing processes to and help shape what scaling should look like. Comfort working alongside a technology team and contributing stakeholder perspective to product development processes; proficiency with standard productivity and data tools. (e.g., Google Workspace, spreadsheet); experience with content management systems or databases to organize and track information preferred. Physical requirements Ability to traverse an office environment to attend meetings and interact with colleagues Ability to operate a computer and other relevant technology, such as phones, screens, printers, and tablets Ability to remain in a stationary position for extended periods, as is common in office settings Ability to communicate and exchange accurate information with internal and external stakeholders Ability to travel to partner organizations across the 5 boroughs on a periodic basis Ability to carry up to 10 pounds (such as for a laptop and carrying case) Candidates must be able to perform the essential functions of this role with or without reasonable accommodation. Salary Information While the majority of new hires’ starting salaries shall be expected to be placed in the first half of the range(s) to allow space to grow in the job, for those who already have significant relevant experience at that level of the job, placement at the higher end of the range(s) is possible.
