Position Overview
Join our team as an Inventory and Pricing Analyst who is a hands-on operational role responsible for building, organizing, and maintaining inventory and pricing data within the practice management system. This individual will partner with clinical, operational, and financial stakeholders to establish accurate item records, costs, units of measure, pricing, and inventory controls. The role combines detailed system setup with pricing and margin analysis and will serve as a key resource for inventory data integrity and ongoing optimization.
Hagyard Equine Medical Institute in Lexington, Kentucky, is an internationally recognized leader in equine medicine, combining cutting-edge technology with a collaborative team dedicated to advancing equine health and performance.
Essential Functions:
Inventory System Setup & Data Integrity
- Build and configure inventory records within HVMS or the designated practice management system, including pharmaceuticals, medical supplies, retail items, and other billable inventory.
- Enter and maintain item descriptions, categories, units of measure, package sizes, vendors, acquisition costs, reorder information, pricing, and other required fields.
- Establish and apply consistent naming conventions, categories, and data standards to support reporting, usability, and inventory control.
- Review existing inventory records for duplicates, inactive items, inconsistent naming, missing information, and other data-quality issues; recommend and implement corrections.
- Validate system setup and pricing changes before rollout to help ensure accuracy and operational readiness.
- Assist with mapping inventory items to charges, dispensing structures, or other system workflows as applicable.
Pricing & Margin Analysis
- Analyze acquisition cost, historical pricing, markups, margins, and relevant operational considerations to support pricing recommendations.
- Apply approved pricing methodologies consistently across inventory categories while identifying exceptions that require review.
- Enter approved pricing into HVMS or the designated system and verify that updates are reflected correctly.
- Review vendor cost changes and identify items that may require pricing adjustments to maintain target margins or pricing consistency.
- Prepare clear pricing analyses, exception reports, and recommendations for leadership review.
- Support periodic price reviews and large-scale pricing updates, including testing and post-implementation validation.
Ongoing Inventory Support & Optimization
- Maintain inventory master data as products, vendors, costs, package sizes, or clinical workflows change.
- Assist with inventory counts, reconciliation, usage review, and investigation of material variances when needed.
- Identify opportunities to improve inventory turnover, reduce duplicate or obsolete items, and limit waste related to expiration, overstocking, or inconsistent ordering.
- Partner with hospital teams to troubleshoot inventory and pricing issues and promote consistent system use.
- Document inventory and pricing processes, standards, and system procedures to support sustainability and training.
- Serve as a knowledgeable resource for HVMS inventory and pricing functionality, when applicable.
Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions.
Required Qualifications
- Hands-on experience with inventory management, purchasing, pricing, or related operational workflows in a veterinary, equine, healthcare, or similarly complex environment.
- Demonstrated ability to work accurately with large volumes of item-level data and detailed system configuration.
- Intermediate to advanced Microsoft Excel or comparable spreadsheet skills, including sorting, filtering, formulas, lookups, and data reconciliation.
- Ability to analyze cost and pricing information and clearly communicate findings and recommendations.
- Strong attention to detail, follow-through, organization, and problem-solving skills.
- Ability to work independently while collaborating effectively with clinical, operational, finance, and vendor partners.
Preferred Qualifications
- Prior experience using HVMS, particularly inventory, item setup, pricing, purchasing, or reporting functions.
- Equine veterinary inventory experience, including familiarity with equine pharmaceuticals, medical supplies, dispensing practices, package sizes, and units of measure.
- Experience implementing, cleaning up, or standardizing inventory data within a veterinary practice management system.
- Experience with veterinary pricing methodologies, margin analysis, vendor cost review, and large-scale price updates.
- Experience supporting multi-site veterinary operations or standardizing inventory and pricing across multiple locations.
The list of essential functions, as outlined in this job description, is intended to be representative of the tasks performed within this classification. The omission of any job function does not preclude management from assigning duties not listed herein if such functions are a logical assignment to the position.
