Contract SpecialistThe Contract Specialist prepares accurate and competitive quotes for helicopter operations and maintenance services. This role reviews requests for proposals and quotations, analyzes costs, and collaborates with cross-functional teams to ensure bids meet technical requirements and aviation regulations. The position also maintains detailed records in the company's quoting database and supports contract administration throughout the procurement and invoicing process.ResponsibilitiesReview requests for proposals (RFPs), requests for quotations (RFQs), and client inquiries to develop detailed pricing packages for helicopter operations and maintenance services.Prepare comprehensive quotes that include labor hours, parts procurement, engineering fees, and vendor services, ensuring all cost elements are clearly documented and justified.Perform analytical cost breakdowns to evaluate labor, materials, and external services, and present pricing that is both accurate and competitive.Collaborate closely with maintenance, engineering, and sales teams to confirm that bids are technically accurate and aligned with operational capabilities.Ensure all quotes and contract documents comply with applicable aviation regulations, including Federal Aviation Regulations (FAR) and relevant FAA guidelines.Manage contract administration activities, including contract review, contract negotiation support, and ongoing contract management throughout the lifecycle of agreements.Enter, update, and maintain accurate data in the company's quoting and contract management database, including pricing details, terms, and client information.Support procurement and purchasing activities by coordinating purchase orders, vendor quotations, and parts pricing for helicopter systems and related services.Provide administrative support for invoicing, accounts payable, and finance-related tasks associated with contracts and quotes.Deliver responsive and professional customer service to internal stakeholders and external clients, addressing inquiries related to quotes, contracts, and pricing.Assist with contract review to identify key terms, conditions, and risks, and help ensure consistency with company policies and regulatory requirements.Contribute to continuous improvement of quoting and contract management processes by suggesting enhancements to templates, workflows, and documentation standards.Communicate clearly and professionally in both written and verbal formats when liaising with clients, vendors, and internal departments.Essential SkillsMinimum 1 to 3 years of experience in aviation operations, rotorcraft maintenance, or aerospace quoting.Hands-on experience with contract administration and contract management activities.Proficiency in data entry and database management for quoting and contract records.Strong knowledge of Microsoft Office, with advanced proficiency in Microsoft Excel for analytical cost breakdowns.Understanding of helicopter systems and parts pricing within an aviation maintenance or operations context.Familiarity with aviation regulations, including Federal Aviation Regulations (FAR) and FAA guidelines relevant to helicopter operations and maintenance.Ability to perform detailed cost analysis, including labor hours, parts procurement, engineering fees, and vendor services.Experience with procurement, purchasing, and purchase order processes in a technical or aviation environment.Strong negotiation and contract negotiation support skills, with the ability to contribute to favorable terms and conditions.Excellent written and verbal communication skills to liaise effectively with external clients and internal departments.Customer service skills with a focus on responsiveness, professionalism, and relationship-building.Ability to provide administrative support, including invoicing, accounts payable coordination, and general administrative assistance.High level of accuracy and attention to detail when reviewing contracts, quotes, and financial documentation.Additional Skills & QualificationsExperience in contracts administration and contracts management within aviation, aerospace, or a technical services environment.Background in finance or exposure to financial processes such as invoicing and accounts payable.Strong organizational and administrative skills to manage multiple quotes, contracts, and deadlines simultaneously.Ability to work effectively with cross-functional teams, including maintenance, engineering, sales, procurement, and finance.Competence in general administration and administrative support tasks in a fast-paced operational setting.Skill in contract review to identify key clauses, compliance requirements, and commercial implications.Negotiation skills that support purchasing, vendor management, and contract terms discussions.Comfort with customer-facing interactions, providing clear explanations of pricing, terms, and contract details.Why Work Here?Join a rapidly growing aviation organization where you can build your expertise in a specialized rotorcraft environment and contribute directly to high-impact operational decisions. Daily activities involve the use of Microsoft Office tools, particularly Excel, as well as internal databases for quoting and contract management. The setting supports focused analytical work while maintaining direct interaction with maintenance, engineering, sales, procurement, and finance personnel.Job Type & LocationThis is a Contract to Hire position based out of Fort Worth, TX.Pay and BenefitsThe pay range for this position is $18.00 - $32.00/hr.Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
