Director of Transportation

The Director of Transportation is responsible for the overall leadership, management, safety, compliance, and operational effectiveness of the School’s transportation program. This position oversees all aspects of student transportation, including daily bus routes, athletic and extracurricular transportation, driver management, fleet maintenance, regulatory compliance, budgeting, and transportation-related risk management. The Director of Transportation ensures that transportation services support the School’s mission by providing safe, reliable, efficient, and customer-focused transportation for students, faculty, staff, and school programs. Essential Duties and Responsibilities Transportation Operations Direct and oversee all daily transportation operations for the School. Develop, implement, and monitor bus routes and transportation schedules. Coordinate transportation services for athletic events, field trips, extracurricular activities, and special programs. Ensure efficient utilization of vehicles, personnel, and resources. Respond promptly to transportation emergencies, delays, accidents, and service disruptions. Maintain accurate transportation records, reports, and operational documentation. Safety and Compliance Promote and maintain a culture of safety throughout the transportation department. Ensure compliance with all applicable federal, state, and local transportation regulations. Maintain compliance with Department of Transportation (DOT), Federal Motor Carrier Safety Administration (FMCSA), Texas Department of Public Safety (DPS), and other applicable regulatory requirements. Develop and implement transportation safety procedures, emergency response plans, and accident prevention programs. Conduct accident investigations and implement corrective actions when necessary. Ensure all drivers maintain required licenses, certifications, medical certifications, and training requirements. Personnel Management Recruit, hire, train, supervise, evaluate, and develop transportation staff, including drivers and transportation coordinators. Establish performance expectations and provide ongoing coaching and professional development. Manage employee schedules, timekeeping, leave requests, and staffing coverage. Conduct regular staff meetings and safety training sessions. Foster positive employee relations and maintain a collaborative team environment. Fleet Management Oversee maintenance, repair, inspection, and replacement of school-owned vehicles. Coordinate preventive maintenance programs to ensure vehicle safety and reliability. Monitor vehicle condition, usage, fuel consumption, and maintenance costs. Maintain vehicle records, inspection reports, registration, insurance, and licensing documentation. Collaborate with maintenance vendors and service providers as necessary. Budget and Financial Management Develop and manage the annual transportation department budget. Monitor expenditures and identify opportunities for cost efficiency. Evaluate transportation contracts, vendor relationships, and service agreements. Assist in long-range planning for fleet replacement and transportation infrastructure needs. Customer Service and Communication Serve as the primary point of contact for transportation-related concerns from parents, students, faculty, and administrators. Communicate route changes, service updates, and transportation procedures clearly and professionally. Maintain positive relationships with families and school stakeholders. Support the School’s commitment to exceptional customer service. Strategic Planning Assess transportation needs and recommend improvements to enhance safety, efficiency, and service quality. Develop long-term transportation strategies aligned with school growth and operational goals. Utilize transportation software and technology to improve route planning, communication, and reporting. Qualifications Education Bachelor’s degree in Transportation Management, Business Administration, Operations Management, Logistics, Public Administration, or related field preferred. In lieu of a bachelor’s degree a combination of education and experience may be considered. Experience Minimum of five (5) years of progressively responsible transportation management is preferred. Demonstrated experience supervising transportation personnel and managing transportation operations. Experience working in a school environment, student transportation program, or similar educational setting preferred. Proven ability to coordinate transportation logistics, maintain compliance with applicable regulations, and ensure safe and efficient transportation services. Licenses and Certifications Valid Texas Driver’s License required. Commercial Driver’s License (CDL) with Passenger and School Bus endorsements preferred. Ability to meet all applicable driver eligibility requirements if operating school vehicles. CPR, First Aid, and defensive driving certifications preferred or ability to obtain upon hire. Knowledge, Skills, and Abilities Knowledge of transportation operations, routing, fleet management, and logistics. Knowledge of federal, state, and local transportation regulations. Strong leadership, organizational, and problem-solving skills. Excellent interpersonal and customer service abilities. Strong written and verbal communication skills. Ability to manage multiple priorities and respond effectively in emergency situations. Proficiency with Microsoft Office Suite and transportation management software. Ability to maintain confidentiality and exercise sound judgment. Commitment to student safety and service excellence. Physical Requirements Ability to sit, stand, walk, bend, and lift to 25 pounds. Ability to inspect vehicles and transportation facilities. Ability to travel between school campuses and transportation locations. Ability to work occasional evenings, weekends, and special events as required. Working Conditions School campus environment with regular exposure to buses, vehicles, maintenance facilities, and outdoor weather conditions. Occasional after-hours and emergency response responsibilities. Availability to support transportation operations during school events, athletic competitions, and emergency situations.
