Project Coordinator

Tunista Construction LLC Regular Pay Range: $25 - $33 per hour What does Tunista Construction LLC do? Tunista Construction delivers heavy civil contracting services throughout Washington State, building a strong reputation with major government agencies and private clients. Our portfolio includes successful design‑build and bid‑build projects for the Department of Defense, Washington State Department of Transportation, and various public and private entities, giving you exposure to diverse project types and construction methods. Our culture emphasizes safety, quality, and results‑focused execution. You'll develop valuable construction skills while contributing to significant infrastructure projects that improve transportation and facilities across the region. What can you expect? As the Project Coordinator, you will work onsite in Tacoma, WA and will be responsible for supporting the civil construction projects and team, while always cultivating and maintaining positive business relationships. This position includes, but is not limited to, project documentation controls, project setup and cost accounting. You will perform a wide variety of high‑level administrative construction tasks and project engineering duties to support the coordination of construction projects from inception to completion. This position has opportunities for growth and career pathways into leadership roles in projects and other departments. How will you do it? Maintain and file paperwork, project documents, and certified payroll. Monitor, track and send all prepared and received Certified Payroll as required. Prepare and turn in weekly payroll up to accounting, verifying all timecards follow the union MLA guidelines. Coordinate with Human Resources on meeting client/project labor requirements and adherence of company local hire policy at project sites. Support Project Managers & Estimators by obtaining pricing for the development of cost estimates. Develop and maintain project plans, including timelines, project phases, and activities by utilizing Critical Path Management techniques and company‑designated software programs. Ensure all required documents are received from subcontractors prior to starting on‑site work. Assist in coding invoices to properly track project expenses to the budget. Monitor, track and send all job‑related invoices and turn in approved invoices to Accounts Payable in a timely manner. Prepare and turn in all expense reports and personal mileage reports for the Civil Project Managers to code and turn in each month. Manage contract document compliance. File Intents and Affidavits for all civil jobs. Assist Project Managers to manage Lien Releases and Pay Applications each month for civil jobs. Assist in verbally communicating effectively with clients. Assist in developing presentations for outside agencies and internal communications. Coordinate and attend client meetings. Record action items during meetings and execute follow‑through. Collect required documentation from any subcontractors, clients, or vendors. Assist with new job/office setup including materials, supplies, account setup for local services, and communication. Coordinate creation, setup, and use of folders for the Tunista’s shared drive and Procore. Coordinate any office setup requirements such as hardware, software, internet, cell phones, desk phones, and laptops for satellite offices or job sites. Prepare and review closed jobs report for continuation of close‑out and funds collection. Maintain all Government base passes and documentation. Responsible for setting up accounts with vendors as needed. Develop and maintain positive working relationships with co‑workers and other departments. Plan, coordinate, and prioritize multiple projects simultaneously. Assist President and all staff with any issues that arise which require immediate action. Work in a constant state of alertness and in a safe manner. Perform other duties as directed. Supervisory Functions This position does not have supervisory responsibilities. Knowledge, Skills & Abilities Advanced knowledge in various field construction concepts, practices, and procedures. Advanced knowledge and skills in computerized accounting systems, financial reporting, and project management systems. Ability to read construction plans and specifications. Excellent analytical and technical skills. Strong project management and organizational skills. Exceptional time management skills. Excellent communication skills, both oral and written, to deal effectively with a variety of interpersonal relationships and situations. Ability to work in a team environment. Good working knowledge of various personal computer business software applications presently used by the Company. Ability to learn new applications. Ability to learn and understand the Company’s Standard Operating Procedures (SOPs). Basic math skills: addition, subtraction, division, multiplication, and percentages. Ethical business conduct with customers, vendors, and co‑workers. Detail orientation; superior organizational, follow‑up, and records maintenance skills. Resourcefulness in assisting management and co‑workers. Ability to read and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to travel for work‑related purposes for extended periods of time (up to 10%). Ability to operate a motor vehicle in a safe and efficient manner. Ability to work in a Native Corporation multi‑business environment. Minimum Qualifications High School Diploma or equivalent required. Two (2) years’ experience working in a similar position required. Valid state driver’s license and qualified to operate a vehicle under the conditions of the Company’s Driving Policy. Ability to pass drug, driving and background screening. Preferred Qualifications Bachelor’s degree in Construction Management, Engineering, or related field preferred; a combination of related project coordinator experience and/or education with enrollment in a construction management or engineering program will be considered. Previous experience utilizing project management software like HCSS, P6, and Procore is preferred. Prior work experience in the civil construction industry to include operations, accounting, and estimating, and financial analysis preferred. Prior construction industry experience preferred.
