The receptionist provides a welcoming first point of contact for customers, manages the front desk, and supports daily dealership operations through professional customer service and clerical assistance. This role focuses on answering phones, greeting visitors, and ensuring the reception area runs smoothly and efficiently while maintaining a cheerful and professional demeanor.

Responsibilities

• Answer incoming phone calls promptly, route calls to the appropriate departments or individuals, and provide accurate information to callers.
• Greet customers warmly at the front desk, provide a positive first impression, and ensure they feel welcomed and attended to.
• Direct customers to the appropriate service areas, including sales, service, coffee station, restrooms, or seating areas, based on their needs.
• Contact salespersons or other staff members on behalf of customers to ensure timely assistance and follow-up.
• Maintain a clean, organized, and professional front desk reception area at all times.
• Perform general clerical and administrative duties to support the smooth functioning of the dealership, including filing, data entry, and document handling.
• Order necessary front desk supplies, such as office materials and name tags, when authorized by management.
• Use Microsoft Office and other basic computer applications to complete administrative tasks efficiently.
• Provide customer service support in a retail-oriented environment, handling inquiries and resolving basic issues or directing customers to the appropriate contact.
• Collaborate with colleagues and management to ensure consistent coverage of the front desk during scheduled hours.
• Participate in training sessions to learn front desk procedures, closing responsibilities, and dealership processes.
• Maintain a cheerful, professional, and customer-focused attitude when interacting with customers and coworkers.

Essential Skills

• Proven customer service experience, ideally in a retail, reception, food service, or similar customer-facing environment.
• Outgoing and friendly personality with the ability to create a welcoming atmosphere for customers and visitors.
• Ability to multitask effectively while managing phones, in-person inquiries, and clerical tasks simultaneously.
• Strong receptionist and front desk skills, including answering phones, greeting guests, and managing visitor flow.
• Administrative support skills, including filing, organizing documents, and handling basic office tasks.
• Proficiency with Microsoft Office applications for everyday administrative work.
• Customer serviceoriented mindset with strong communication and interpersonal skills.
• Ability to work evenings and weekends consistently, including mandatory Saturday shifts and scheduled Sunday shifts.
• Reliability and punctuality to ensure consistent coverage of the front desk during assigned hours.

Additional Skills & Qualifications

• Experience using Outlook or similar email and calendar applications.
• Background in retail, food service, or other high-interaction customer service roles.
• Experience in receptionist customer service roles, particularly in busy or multi-department environments.
• Strong organizational skills and attention to detail when managing multiple tasks and responsibilities.
• Comfort working in a fast-paced environment with frequent customer interactions.
• Willingness to complete initial training on daytime shifts to learn procedures and closing responsibilities.

Work Environment

This role is based at an automotive dealership group located in northeast Salem, which includes multiple new and used vehicle lots representing brands such as Toyota, Subaru, Chevrolet, and Nissan. The position offers many opportunities for growth within the broader dealership operations. The receptionist works at the front desk in a customer-facing environment, using standard office equipment and technologies such as multi-line phones, computers, Microsoft Office, and Outlook. The schedule is part-time at approximately 2530 hours per week, with regular evening and weekend hours. Typical shifts include Monday through Thursday from approximately 2:50 p.m. to 8:00 p.m. (with Friday extending to about 9:00 p.m.), mandatory Saturday shifts either from 7:50 a.m. to 2:30 p.m. or 2:30 p.m. to 9:00 p.m., and mandatory Sunday shifts twice per month, typically 10:00 a.m. to 3:00 p.m. or 2:00 p.m. to 7:00 p.m. Initial training includes five daytime shifts (approximately 9:00 a.m. to 3:00 p.m.) and three closing shifts alongside experienced staff to ensure comfort with front desk and closing procedures. The environment is professional, customer-focused, and retail-oriented, with a steady flow of visitors and phone calls. Attire is expected to be professional and appropriate for a front desk role in an automotive dealership setting.

This is a Contract to Hire position based out of Salem, OR.

Pay and Benefits

The pay range for this position is $17.00 - $17.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
