The City of Whitefish is actively recruiting for a part-time exempt Assistant Library Director to join the Whitefish Public Library. One of the fastest growing cities in Montana, Whitefish is consistently rated one of the best small towns in America and was named one of the top 25 ski towns in the world by National Geographic. It is located on the shores of Whitefish Lake and the base of Big Mountain – home to Whitefish Mountain Resort. Whitefish also boasts over 36 miles of natural surface single-track mountain biking and hiking trails with 10 trailheads, golfing, world class dining, two professional live theater companies, and is only thirty minutes from Glacier National Park.

This position is part-time and will be working 30 hours per week.

Under direction from Whitefish Community Library Director, assists the Director in implementing the activities and operations of the Whitefish Community Library. Must work with Whitefish Community Library management and staff, City officials and employees, and the public with discretion and diplomacy.

Supervision Received: Under the direct supervision of the Library Director

Supervision Exercised: Provides supervision of staff and volunteers as directed by the Library Director.

Job Duties

Other duties may be required and assigned. This position serves an important role in the operations of the City and requires a consistent and dependable presence during assigned hours of work. It is expected that every employee should be on time, fully prepared, every day that the employee is scheduled to work. When assigned, serves as Interim Library Director, in their absence. Assists in training and oversight of library staff and volunteers as directed by the Library Director, the selection, accumulation, circulation and cataloguing of library materials; the registration of library patrons; the furnishing of information to library users; and oversight of the library building maintenance, repairs, and cleaning. Orders Library supplies on an as needed basis. Prepares billing, assists with budget preparation, and assists with facilities oversight. Prepares schedules to assure adequate coverage of circulation desk, programming, and off-desk assignments of staff. Collect and record statistics to fulfill the requirements of Montana State Library, City of Whitefish, and the Library. Writes and administers grants and manage grant budgets including preparing and final reports. Maintains the Collection using Montana Shared Catalog analytics to access reports, supervise weeding projects, ordering materials, incorporating patron needs and requests. Connects with patrons for recommendations on materials. Plans, implements, and evaluates programming to meet the needs and interests of community members. Connects with patrons for recommendations on programs. Serves as main point of contact for adult programming. Promotes and publicizes adult services by developing and editing the library's monthly newsletter, and contacting other promotional outlets, such as local newspapers and radio stations. Collaborates with other community organizations to develop special events and programs. Demonstrates advanced communication / customer service skills with library users of all ages in person, by phone, via email, or other technology. Uses Integrated Library System (ILS) to perform maintenance of patron accounts, maintenance of library collection, location and movement of library materials. Assists library patrons in locating materials and provides information on library events, services, policies, and procedures. Assists library patrons in how to use the Montana Shared Catalog to locate materials and for the online features of their library account. Assists library patrons in proper use of library computers and other equipment (computers, scanner, printing, microfilm reader, fax) including minor technical support. Prepares outgoing materials for shipments and processes incoming materials for patron distribution. Operates cash register and processes cash transactions. Other duties may be required and assigned.

Desired Minimum Qualifications

Education and Experience:

• (A) Bachelor's degree from an accredited four-year college or university.
• (B) One to three years relevant work experience, MLS preferred.
• (C) Proven experience working in a fast-paced environment requiring excellent customer service skills.
• (D) Proven experience with Integrated Library Systems (ILS), Content Management Systems, social media, and newsletters.
• (E) Experience with online promotional software such as Canva, MailChimp, and Eventbrite.
• (F) Experience with downloadable books, e-readers, tablets, and smartphones.
• (G) Experience with SirsiDynix, OCLC, OverDrive and/or Libby preferred.
• (H) Any equivalent combination of education, experience, and training which indicates possession of the knowledge, skills, and abilities listed.

Necessary Knowledge, Skills and Abilities:

• 1. Advanced competency in Microsoft 365 including Word and Excel, Outlook and Windows Operating System.
• 2. Strong instructional skills (planning and delivery) and ability to work with people possessing a wide range of technical know-how.
• 3. Enrollment in the Montana State Library certification program will be required.
• 4. Ability to learn new versions of technology as they become available.
• 5. Excellent communication skills in person and in writing.
