Reports To: HR Manager  

Hours: Monday -Friday, 8:00-4:30 (40 hours/week)

On-site position 

Position Summary  

The Office Administrator supports daily office operations, HR processes, and employee engagement activities. This role ensures smooth administrative workflow and a welcoming environment for employees and visitors. 

Key Responsibilities  

Front Desk & General Support  

• Answer and route incoming calls promptly and accurately.
• Greet clients, visitors and resource partners in a professional and welcoming manner.
• Manage incoming and outgoing UPS/FedEx packages, including logging and distribution.
• Order office supplies and maintain inventory levels and stock kitchen/break areas/restrooms.
• Maintain a clean and organized reception area.

HR Support and Office & Administrative Operations  

• Support the HR Manager with administrative tasks, HR initiatives, and employee communications.  
• Prepare the workstations for new employees, ensuring the space is clean and they have needed supplies.

• Assist with monitoring the HR inbox and escalate urgent matters appropriately.  

• Assist with benefit administration, including enrollment communication, invoice processing, and employee inquiries.  

• Maintain office areas and coordinate service providers as needed.  
• Managing the Conference room calendar and setting up the conference rooms for meetings
