Pelican Chemicals is a rapidly growing specialty chemical manufacturing company headquartered in Missoula, Montana. Since 1993, we have supplied innovative deicing, water treatment, and specialty chemical solutions to airports, municipalities, DOTs, and industrial customers across North America. Position Description As we continue expanding nationally, we are seeking a highly organized, driven, and detail-oriented Administrative Operations Manager to help lead and scale the administrative backbone of the company. This is a high-impact leadership role with significant growth opportunity. The Administrative Operations Manager will oversee and manage the company’s core administrative, operational support, compliance, accounting support, sourcing, and business systems functions. Initially, this individual will directly handle many operational responsibilities hands‑on. Over the next 12 months, they will help build and manage an administrative support team, including hiring and supervising additional clerical/admin personnel. The ideal candidate is highly organized, meticulous, proactive, technology‑oriented, capable of managing multiple priorities simultaneously, and comfortable operating in a fast‑paced entrepreneurial environment. Key Responsibilities Customer & Order Administration Manage customer order processing and invoicing Coordinate customer account setup and documentation Maintain customer records and compliance documents Manage customer support and order coordination Purchasing & Supply Chain Support Manage raw material purchasing and supplier coordination Source logistics and freight providers Coordinate inbound and outbound shipment administration Assist with vendor communications and sourcing activities Manage accounts receivable and accounts payable processes Handle credit card expense tracking and reconciliation Support payroll administration Perform first‑level accounting and financial administrative functions Compliance & Business Administration Manage sales tax registrations and state compliance filings Coordinate insurance policies and renewals Maintain business licenses and general compliance requirements HR administration and employee onboarding Develop and maintain company policies, SOPs, and employee handbook materials Systems & Process Management Assist with implementation and management of company software systems, including Odoo ERP Help streamline and improve administrative workflows Maintain and organize electronic records and operational tools Leadership & Growth Build and supervise future administrative support staff Help create scalable internal systems and processes Support management with operational reporting and organizational initiatives Qualifications Required Strong organizational and multitasking abilities Excellent communication and problem‑solving skills High attention to detail and accountability Ability to manage sensitive/confidential information professionally Strong computer and software skills Ability to work independently and take ownership of responsibilities Preferred Experience in operations, administration, accounting support, or office management Experience with ERP systems such as Odoo Experience with purchasing, logistics, accounting support, or compliance management Experience supervising employees or building teams Experience in manufacturing, industrial, transportation, or chemical industries Competitive salary based on experience Performance and growth opportunities Paid time off and holidays Opportunity to help shape and modernize a growing national company Why This Role Matters This position is critical to the future growth of Pelican Chemicals.
