Position Overview:
Graham Windham is seeking a highly organized and detail-oriented Sr. HR Operations & System Specialist to lead key onboarding, credentialing, and HR operations functions.
This role owns the end-to-end credentialing process, ensuring compliance with all regulatory and organizational requirements while delivering a seamless onboarding experience. The position also supports core HR operations, including employee support services, invoicing, benefit administration, and payroll coordination.
The ideal candidate is execution-focused, highly organized, and experienced in managing compliance-driven processes with accuracy and accountability.
This role reports to the Associate Vice President, Human Resources.
Key Responsibilities
Credentialing & Compliance
Own and manage the full lifecycle of credentialing for new hires and applicable staff
Ensure all required licenses, certifications, background clearances, and documentation are completed, verified, and compliant prior to hire
Maintain credentialing trackers and ensure documentation is audit-ready at all times
Monitor expirations and renewals to ensure ongoing compliance
Partner with program leadership to confirm role-specific credentialing requirements
Serve as a resource to HR and leadership on credentialing processes and compliance standards
Onboarding & Employee File Management
Coordinate onboarding to ensure a smooth, compliant, and timely new hire experience
Create and maintain complete employee personnel files, ensuring all documentation is accurate and properly stored
Facilitate onboarding logistics, including system access and employee ID creation
Serve as a point of contact for new hires, providing support and guidance throughout onboarding
HR Operations & Employee Support
Manage and respond to HR tickets and employee inquiries, ensuring timely and high-quality service
Triage and resolve requests related to onboarding, payroll, benefits, and general HR support
Escalate complex issues as needed and coordinate with HR, Finance, and IT partners
Support employment and appointment verification requests
Identify opportunities to improve workflows and enhance service delivery
Invoicing & Vendor Coordination
Process and track HR-related invoices, including benefits and vendor invoices
Partner with Accounts Payable to ensure timely and accurate payment processing
Monitor invoice status, resolve discrepancies, and maintain organized records
Payroll & HR Data Support
Coordinate payroll updates and ensure accurate submission of employee data
Support payroll reconciliation and maintain payroll documentation
Run and review reports (e.g., ADP sync reports) to ensure data accuracy
Maintain accurate employee data within HR systems (e.g., Paycom, 15Five, Bravely, Monday)
Administrative & Project Support
Manage incoming HR mail and documentation
Assist with audits, reporting, and special projects
Support development of HR process documentation and training materials
Participate in team meetings and continuous improvement initiatives
Qualifications Required
Bachelor’s degree or equivalent experience
4–7 years of experience in HR operations, onboarding, or credentialing
Experience managing compliance-heavy or credentialing processes
Strong organizational skills and attention to detail
Ability to manage multiple priorities in a fast-paced environment
Strong communication and customer service skills
Ability to handle confidential information with discretion
Preferred
Experience in nonprofit, healthcare, or regulated environments
Familiarity with HRIS platforms (e.g., Paycom)
Experience with HR ticketing or service delivery models

Base Salary or Hourly Rate: $72,000.00
FLSA Status: Exempt
