Position Overview
The HR & Payroll Specialist is responsible for supporting payroll administration, employee relations and engagement, HR operations, compliance initiatives, recruiting coordination, and internal communications for both union and management employees. This role serves as a key resource for employees and leadership by ensuring accurate payroll support, maintaining employee records, coordinating onboarding and training activities, managing employee engagement initiatives, and supporting day-to-day HR operations.
The ideal candidate is highly organized, detail-oriented, adaptable, and capable of managing multiple priorities in a fast-paced environment while maintaining confidentiality, accuracy, and strong interpersonal communication.
Key Responsibilities
Payroll & Employee Administration
- Served as primary point of contact for employee payroll and benefits inquiries including sick time, vacation, personal days, 401(k), direct deposit updates, address changes, deductions, payroll-related concerns, etc.
- Managed payroll-related updates and annual wage increase within ADP.
- Processed end-of-year sick payouts and maintained PTO tracking systems.
- PTO record keeping.
- Maintained employee records and payroll documentation in ADP and internal systems.
- Added new hires into ADP and timeclock systems, including employee code assignments.
- Processed employment verification letters using company HR templates.
- Managed employee locker assignments, lock distribution, combination tracking, and periodic locker audits.
- Maintained and submitted weekly union dues report.
- Downloaded payroll and labor reports from ADP for reporting purposes.
- Coordinated scheduling communications for all departments.
- Distributed weekly departmental schedules to leadership by required deadlines.
Recruitment & Onboarding
- Managed job postings through LinkedIn and other recruiting platforms.
- Reviewed resumes, vetted candidates, conducted initial phone screenings, and coordinated in-person interviews.
- Assisted Human Resources Director with onboarding processes and documentation.
Employee Relations & Engagement
- Coordinated employee engagement initiatives include seasonal outings, celebrations, employee recognition, and special events.
- Managed birthday and anniversary tracking for employees across multiple properties/departments.
- Assisted with employee surveys, exit interviews, and annual engagement surveys through ADP Voice of the Employee.
Performance Management
- Managed and distributed employee anniversary review notifications through ADP Performance Dashboard.
- Maintained performance review tracking spreadsheets and ensured timely completion of evaluations.
Compliance & Safety
- Coordinated mandatory employee training sessions including sexual harassment prevention, chemical safety, and other compliance-related training.
- Organized and facilitated monthly Safety Committee meetings while documenting meeting minutes and rotating staff participation.
- Maintained and updated monthly OSHA log records and tracked workplace incidents.
Internal Communications & Administrative Support
- Created and distributed internal memos using company templates.
- Posted communications in designated employee areas throughout the property.
- Assisted with quarterly employee newsletters.
- Designed and maintained HR-related materials in Canva including:
- Employee announcements
- New hire and promotion templates
- Training sheets
- “Meet the Team” updates
- Recognition materials

Salary Range: $65,000 - $75,000
