Position Summary

The Accounts Payable Specialist is responsible for the accurate and timely processing of vendor invoices, payments, and related accounting transactions across multiple operating companies. This position supports project teams and accounting by ensuring invoices are properly coded, vendors are paid on time, and financial records are maintained in accordance with company policies. This position will be the company's point of contact for vendors and AP recipients.

Essential Responsibilities

● Process a high volume of vendor invoices accurately and timely for multiple operating companies.

● Review and code invoices to the appropriate company, job, phase, cost type, and general ledger account.

● Maintain vendor records, including W-9s and other required documentation.

● Prepare and process weekly check runs, special check runs, ACH payments, and other electronic payments.

● Reconcile vendor statements, research invoice discrepancies, and respond to vendor inquiries.

● Assist with month-end close activities, accounts payable reporting, 1099 preparation, and audit requests.

● Collaborate with project managers, operations, and accounting to ensure timely invoice approvals and payment processing.

● Maintain organized financial records and supporting documentation.

Qualifications

● Associate's degree in Accounting, Finance, Business, or a related field preferred.

● Two or more years of Accounts Payable or general accounting experience preferred.

● Construction accounting experience is a plus.

Required Skills

● Proficiency in Microsoft Excel and Word or Google Sheets and Google Docs .

● Experience with ERP systems such as Dexter + Chaney Spectrum, Vista, Oracle, or QuickBooks .

● Strong organizational, communication, and customer service skills.

● Excellent attention to detail and accuracy.

● Ability to manage multiple priorities, meet deadlines, and work effectively in a fast-paced environment.
