Position Overview

Top Real Estate firm based in Great Neck, NY is seeking a dependable, organized, and professional Personal/Executive Assistant to provide administrative and personal support to three senior executives. This is a full-time, onsite maternity leave coverage position expected to last approximately seven months.

The ideal candidate is highly organized, thrives in a fast-paced environment, and can effectively manage multiple priorities while maintaining discretion, professionalism, and exceptional attention to detail. The employee is due at the end of October, though an earlier leave start is anticipated, making an immediate start date preferred.

Key Responsibilities

• Manage and maintain complex calendars for three executives, including scheduling appointments, coordinating meetings, and arranging conference calls.
• Coordinate meetings involving multiple executives while accommodating changing schedules and priorities.
• Arrange domestic and international travel, including flights, hotels, ground transportation, and itinerary preparation.
• Handle a high volume of incoming and outgoing phone calls with professionalism and excellent customer service.
• Prepare and serve simple lunches, snacks, coffee, and tea for executives as needed.
• Provide day-to-day administrative and personal support while maintaining confidentiality.
• Communicate effectively with senior executives, clients, and external contacts.
• Assist with general office administrative tasks as assigned.

Qualifications

• Previous experience supporting executives in an Executive Assistant, Personal Assistant, or Administrative Assistant role.
• Exceptional organizational and time management skills with the ability to multitask in a dynamic environment.
• Experience managing multiple calendars and coordinating complex schedules.
• Strong experience arranging travel and handling detailed itineraries.
• Comfortable managing a busy phone line and interacting with internal and external stakeholders.
• Professional, polished demeanor with modest business attire and excellent interpersonal skills.
• Strong written and verbal communication abilities.
• Proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint), Microsoft Teams, and Zoom.
• Ability to anticipate needs, adapt quickly to changing priorities, and work independently.
