Job Title: Health Specialist

Location: Superior Admin Office (Superior, WI) – Supporting all program centers

Position Type: Part-Time / 11 month Position

Based out of our Superior Admin Office , the Health Specialist directly supports the Health Lead in ensuring timely collection, accurate documentation, and effective tracking of child health and dental information across all agency program centers. In this role, you will support compliance with Head Start Program Performance Standards and promote positive health outcomes for enrolled children. Working side-by-side with the Health Lead, center staff, and community medical providers, you will serve as a core administrative anchor for child health records and tracking systems.

Health Lead & Center Support:

• Work closely with the Health Lead to maintain health operations across all program centers.
• Serve as a primary contact for medical and dental providers regarding child health documentation, facilitating info exchange in compliance with HIPAA and FERPA.
• Assist center staff and healthcare providers with questions related to documentation and health standards.

Healthcare Provider & Family Coordination:

• Coordinate directly with medical, dental, and specialty healthcare providers to request, receive, review, and organize health records (well-child exams, immunizations, dental exams, lead, hearing, and vision screenings).
• Build and maintain positive working relationships with community providers.
• Monitor receipt of records and follow up on missing or incomplete documentation within Head Start timelines.

Data Management & Tracking:

• Accurately enter and maintain electronic and physical health records into agency database systems (ChildPlus) for all program centers.
• Conduct routine monitoring and quality checks to verify data accuracy.
• Generate health tracking reports to identify overdue requirements and assist with program planning, audits, licensing visits, and federal reviews.

Compliance & Office Administration:

• Assist in maintaining compliance with Head Start Program Performance Standards, state licensing regulations, and agency health policies.
• Prepare correspondence, maintain organized filing systems at the admin office, and attend team meetings and professional development activities.

Education: Associate degree in Health Information Management, Medical Office Administration, Early Childhood Education, Human Services, or a related field.

Certifications:

• Valid driver’s license.
• Current certifications (or willingness to obtain/maintain): OSHA, Civil Rights, Mandated Reporter, and Abusive Head Trauma.
• Requires 4 hours of continuing education annually.

Core Skills:

• Strong organizational skills, exceptional attention to detail, and time management.
• Proficiency in Microsoft Office and ability to learn/utilize ChildPlus.
• Excellent written, verbal, and cross-cultural communication skills.
• High discretion in handling confidential health information (HIPAA/FERPA).

Head Start Experience: Direct experience with Head Start or Early Head Start health requirements and Performance Standards.

ChildPlus Software: Hands-on experience navigating and managing records within the ChildPlus system.

Specialized Background: Prior experience in health information management, medical records, or administrative support within healthcare or early childhood education.

Community Connections: Familiarity with local healthcare providers, dental clinics, and public health resources in the area.

Bilingual Skills: Conversational or fluent language skills to support diverse family and provider communications.
