Administrative Patient Representative

Join a dynamic outpatient clinic team in the Southeastern United States region as an Administrative Patient Representative. This role ensures smooth patient flow, accurate billing submissions, and meticulous maintenance of medical records. You will be responsible for scheduling patient visits, entering ICD-10 and CPT-4 codes, transcribing non-medical dictation, and timely report submissions.

Key Responsibilities

  • Efficiently register patients and collect accurate information.
  • Schedule appointments for initial and follow-up visits, coordinating with providers to determine appropriate visit types and durations.
  • Collect payments including insurance deductibles and co-payments, documenting receipts and preparing daily cash reports.
  • Order and schedule outside tests as requested by physicians.
  • Enter coding data for patient activities and procedures into the system daily.
  • Transcribe non-medical dictation and submit billing invoices under supervision.
  • File, fax, and mail reports and records; compile monthly reports promptly.
  • Assist with supply inventory tracking and notify supervisors when reordering is needed.
  • Serve as receptionist, greeting patients and managing phone communications in line with clinic guest relations policies.
  • Support non-invasive medical procedures or act as a security observer as needed.
  • Direct emergency messages and assist administrative/medical staff coordination.

Education

High school diploma or equivalent required. Business-related coursework is preferred.

Experience

1-2 years of clerical experience, preferably in a medical business office or a role involving significant public contact.

Skills and Abilities

  • Familiarity with medical terminology and preferred knowledge of ICD-10 and CPT-4 coding for Part B billables.
  • Proficient PC skills and typing speed of 45-55 words per minute with accuracy.
  • Strong organizational skills and tactful communication, especially under stress.
  • Visual and auditory acuity to collect and process information effectively.
  • Physical ability to lift, stoop, bend, kneel, and reach as necessary.
