Intellectual Property Docketing Specialist

Overview

A leading law firm is seeking an experienced Intellectual Property Docketing Specialist to support its Intellectual Property practice. This highly detail-oriented role is responsible for maintaining and updating the firm's IP docketing system, tracking critical deadlines, reviewing patent and trademark correspondence, and ensuring accurate and timely docket management. The position works closely with attorneys, paralegals, and administrative staff to support domestic and international intellectual property matters.

The ideal candidate will possess strong organizational skills, a commitment to accuracy, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

• Review and process incoming and outgoing intellectual property correspondence, filings, and communications for accuracy and completeness.
• Monitor and maintain patent, trademark, copyright, and related docket records and deadlines.
• Enter, update, and track critical dates and action items within the docketing system.
• Review communications from intellectual property offices and foreign associates and ensure appropriate deadlines are recorded.
• Maintain and update U.S. and foreign intellectual property case records.
• Assist with docket updates based on attorney instructions and case developments.
• Open and maintain new matter records within the firm's docketing platform.
• Generate reports and provide deadline tracking support for attorneys and legal professionals.
• Maintain knowledge of intellectual property rules, procedures, and filing requirements.
• Provide backup support for patent maintenance fee and annuity tracking, processing, and payment activities.
• Assist with additional docketing and administrative projects as assigned.

Qualifications

• High school diploma or equivalent required.

• Minimum of 5 years of intellectual property docketing experience.

• Experience with patent, trademark, copyright, and TTAB docketing preferred.
• Experience working within a law firm or intellectual property legal environment preferred.
