Administrative Assistant
Location El Dorado, AR
Provide administrative support by maintaining F&W's wood security procedures, review & reconcile tax forms, prepare client invoices, maintain current insurance certificates, communicate with branch manager & foresters, prepare reports, handle information requests from clients & foresters, and perform clerical functions such as preparing correspondence.
Essential Functions
- Reconciliation of timber sale data and other income for clients.
- Prepare documents using word processing, spreadsheet, database, and/or presentation software.
- Read and analyze incoming emails, submissions, and reports.
- File and retrieve branch documents, records, and reports.
- Maintain branch filing system in our cloud-based software and hard copy formats.
- Prepare responses to correspondence regarding routine inquiries.
- Perform general office duties such as ordering supplies, maintaining records, and performing basic bookkeeping work.
- Review of F&W's insurance tracking system to ensure current certificates of insurance are on file.
- Conduct research, compile data, and prepare papers for consideration and presentation by the branch manager.
- Serve in a support capacity for field forester staff who work within the office.
Qualifications, Education, and Experience
- Associate degree or higher desired.
- One to two years related experience.
- Communication, Written – Ability to communicate in writing clearly and concisely.
- Communication, Oral – Ability to communicate with foresters, clients, and contractors regarding company or client projects.
- Organized – Possessing the trait of being highly organized or following a systematic method of performing a task.
- Self-Motivated – Ability to be internally inspired to perform a task to the best of one's ability using his or her own drive or initiative.
- Integrity-Always keep F&W and client information confidential.
Expected Hours of Work
- Monday through Friday, 8am to 5pm
$15 - $17 per hour
