Office Assistant - Marketing & Business Development Coordinator

Position Overview

Voda Cleaning & Restoration is seeking a highly motivated and organized Office Assistant – Revenue, Marketing & Business Development Coordinator whose primary focus is converting incoming leads into booked appointments while supporting marketing and business development initiatives that drive company growth. This role serves as the first point of contact for customers, manages lead follow-up efforts, supports referral partner relationships, coordinates local marketing activities, and helps maximize revenue opportunities across our cleaning and restoration divisions.

Lead Management & Revenue Generation

· Answer incoming phone calls, website inquiries, and customer requests promptly and professionally.

· Convert inbound leads into scheduled inspections, estimates, and service appointments.

· Follow up with unbooked leads and estimate opportunities to maximize conversion rates.

· Maintain accurate customer and lead records in CRM and scheduling systems.

· Identify opportunities to cross-sell and upsell cleaning and restoration services.

· Track lead sources and customer interactions.

Marketing & Business Development Support

· Assist with local marketing campaigns, community outreach efforts, and promotional activities.

· Coordinate and schedule social media content.

· Support customer review generation and reputation management initiatives.

· Assist with email marketing campaigns and customer communications.

· Coordinate company participation in networking events and community events.

Business Development & Relationship Management

· Assist in identifying and developing new business opportunities within residential and commercial markets.

· Support outreach efforts to property managers, insurance agents, real estate professionals, facility managers, plumbers, HVAC contractors, and other referral partners.

· Coordinate follow-up communications with prospective referral sources and strategic partners.

· Maintain and update referral partner and prospect databases.

· Schedule and support business development meetings, networking events, and community outreach activities.

· Track referral activity, lead sources, and partnership performance.

· Support implementation of customer retention and referral programs.

· Identify opportunities to strengthen customer relationships and increase repeat business.

Customer Service

· Deliver exceptional customer service throughout every customer interaction.

· Handle customer inquiries, scheduling requests, and service-related questions.

· Address customer concerns professionally and escalate issues when necessary.

Administrative Support

· Manage office communications, scheduling, calendars, and administrative tasks.

· Prepare and maintain customer records, reports, and documentation.

· Assist with data entry, invoice support, and customer correspondence.

Team Support & Operations Coordination

· Coordinate schedules between customers, technicians, and management.

· Support field staff by ensuring accurate communication and appointment details.

· Assist with operational projects and process improvements.

Qualifications

Required:

· High school diploma or equivalent.

· 2+ years of experience in customer service, administrative support, inside sales, appointment setting, or a related role.

· Strong verbal and written communication skills.

· Excellent organizational and time-management abilities.

· Proficiency with Microsoft Office.

Preferred:

· Experience in restoration, cleaning, construction, home services, or related industries.

· CRM and scheduling software experience.

· Social media and marketing support experience.

· Sales, lead generation, or appointment-setting experience.
