The Lead Billing Specialist oversees daily billing operations across the Mazza Recycling family of companies, ensuring accurate invoicing, customer account management, accounts receivable support, and team productivity. Reporting to the Revenue Manager, this role serves as the lead resource for billing questions, account escalations, process improvements, and team training while guiding a small team of Billing Specialists.
Responsibilities
- Lead and support Billing Specialists to ensure timely and accurate billing.
- Review and approve invoices, pricing, contracts, and account changes in AMCS.
- Maintain customer accounts, billing records, sales tax documentation, and contract files.
- Monitor accounts receivable aging and support collections and account resolution.
- Audit scale tickets, work orders, and supporting documentation for billing accuracy.
- Coordinate month-end billing activities and invoice generation.
- Train, mentor, and cross-train team members while promoting departmental best practices.
- Serve as the escalation point for complex billing issues and customer inquiries.
- Review customer payments, deposits, reconciliations, and account adjustments.
- Ensure compliance with municipal contracts, regulatory requirements, and internal controls.
- Analyze billing trends and recommend process improvements to increase efficiency and accuracy.
- Generate reports and support special projects for Finance leadership.
Required Qualifications
- Strong customer service, communication, and problem-solving skills.
- Proficiency in Microsoft Excel, Outlook, and Office 365.
- Strong attention to detail and the ability to manage multiple priorities.
- Experience leading, training, mentoring, or supervising a small team.
Preferred Qualifications
- Two or more years of experience in billing and accounts receivable.
- Experience with billing software, ERP systems, or AMCS.
- Experience in waste management, transportation, logistics, construction, or industrial services.
- Associate's or bachelor's degree in Accounting, Finance, Business Administration, or a related field.
