Executive Recruiting Coordinator

Location: Chicago, IL (Hybrid – 3 days onsite, 2 days remote) Duration: Contract Pay Rate: $32–35/hour Reports To: Director of Executive Recruiting Position Overview We are seeking an experienced Executive Recruiting Coordinator to support our Executive Recruiting team by delivering a best‑in‑class, "white glove" candidate experience. This role is responsible for coordinating executive interview logistics, ensuring a seamless scheduling process, and serving as a trusted partner to recruiters, candidates, and hiring leaders. The ideal candidate has prior experience supporting executive recruiting in a large, matrixed organization, takes ownership of their work, and is proactive, organized, and customer-focused. We’re looking for someone who understands what excellence looks like in an Executive Recruiting Coordinator role and can help build and improve recruiting coordination processes. Key Responsibilities Coordinate interview scheduling and logistics for executive‑level candidates. Manage complex calendars and scheduling across multiple stakeholders. Send interview invitations and confirmations. Reserve conference rooms and coordinate Microsoft Teams, video conferencing, and dial‑in details. Prepare and distribute professional interview agendas to candidates and interview teams. Maintain accurate candidate status updates within the Applicant Tracking System (ATS). Partner closely with Executive Recruiters throughout the interview process. Serve as the primary point of contact for interview scheduling questions and requests. Build strong working relationships with Executive Recruiters, hiring managers, and business leaders. Help identify opportunities to improve executive recruiting coordination and scheduling processes. Provide administrative support to the Talent Acquisition team, including process improvement initiatives and other ad‑hoc projects. Required Qualifications 3+ years of experience as a Recruiting Coordinator, with dedicated Executive Recruiting Coordinator experience preferred. Experience supporting executive‑level hiring within a large, matrixed organization. Proven experience coordinating complex interview scheduling and recruiting logistics. Experience with Applicant Tracking Systems (ATS); Workday ATS experience is preferred. Strong organizational skills with exceptional attention to detail. Excellent written and verbal communication skills. Ability to prioritize multiple competing deadlines in a fast‑paced environment. Self‑motivated, proactive, and able to work independently. Positive, outgoing, "can‑do" attitude with a passion for delivering a five‑star candidate experience. Process improvement mindset with a willingness to help build and enhance recruiting coordination best practices.
