Events Specialist I (Hybrid) - Olin Business

Position Summary The Events Specialist supports all programming and event operations, including high‑caliber signature events such as faculty conferences, seminars, brown bags, graduation ceremonies, and other internal and external audiences. The role requires early morning, evening, and weekend hours, with potential limited travel, and supports Olin’s staff and faculty committees in planning and executing successful events. Scheduled Hours 37.5 hours per week Job Description Primary Duties & Responsibilities Overall Events Management: manage the event process from start to finish, collaborating with staff and faculty to determine event type, scale, tone, and goals. Conduct planning meetings, staff briefings, and evaluations, manage logistics including set‑up, tear‑down, registration, audio‑visual, food, and beverage, order supplies, oversee budgets, research venues, negotiate contracts, and maintain vendor relationships. Communication plans for events: manage all communications for each event, including invitations, registrations, reminders, and updates. Post event data to CRM and report accurate details. Support to the Olin‑wide Event and Programming Functions: work with the Events Team to support faculty conferences, seminars, brown bags, graduation ceremonies and all Olin‑wide events, assisting in developing consistent standards school‑wide. Perform other duties as required. Working Conditions Flexibility to work outside normal business hours, including early morning, late evening, and weekends as needed. Physical Effort Ability to travel to on‑and off‑campus locations as required. Education Required Qualifications: Bachelor’s degree or combination of education and/or experience may substitute for minimum education.
